Missing T4 and RL-1 collection for Ontario accountants
CRA Auto-fill gaps
CRA Auto-fill through Represent a Client is convenient when it works — but many preparers still collect issuer copies when slips are missing, amended, or not yet filed by the employer. Auto-fill alone may leave gaps in employment income, investment slips, and Quebec RL-1s for clients who worked across provinces.
The practical shift for February–March: track which issuer copies your firm still needs, not just what Auto-fill returned.
Slip types and what to chase
Different slip types come from different issuers and appear in Auto-fill at different times. A checklist per client makes the gap visible before you open TaxCycle:
- T4 — employer; Auto-fill often partial until all employers file.
- T4A — pension, self-employment, scholarships; verify issuer copy.
- T5 / T3 — investment income; may lag issuer filing.
- RL-1 — Quebec employment; often collected for clients with Quebec-source income.
- RRSP receipts — not on Auto-fill; firms typically request from the client.
Manual follow-up today (honest v1)
Hivi-X v1 shows missing items on your dashboard but does not yet send automated reminder emails — that is a high-priority Phase B feature. Today your team follows up manually, and clients upload issuer copies per checklist item via a secure guest link or the my-id.ca portal.
Your admin can also add files on the client's behalf when slips arrive by email. Item-level approve/reject lets you reject a blurry phone photo and ask for a resubmit before prep starts.
