Express Entry ITA: 60-day document rush workflow
What happens when ITA arrives
Day 0 is when the ITA email lands. From that moment, the clock runs — typically 60 days to submit a complete application with all mandatory supporting documents. IRCC generally does not chase missing items; incomplete files are returned or refused.
- Days 0–7: Confirm ITA details, deploy full document checklist, identify gaps immediately.
- Days 7–14: Priority police certificates, medical exam booking, employer letter chase.
- Days 14–30: QC uploads; reject incomplete scans; translations ordered.
- Days 30–45: Final document verification against IRCC checklist.
- Days 45–60: Portal submission prep — do not wait until day 59.
Pre-ITA readiness vs fire-drill mode
RCICs who front-load documents before a draw move faster after ITA. A pre-ITA checklist on Hivi-X means police certificates and reference letters may already be approved when the ITA arrives — the 60-day window becomes submission prep, not document discovery.
Fire-drill mode still works: deploy your Express Entry checklist the day ITA lands, share with the client on my-id.ca, and use the missing-item dashboard as your command centre. You see outstanding items without emailing "any update on the police cert?" for the fifth time.
Priority documents to verify first
Police certificates, medical exams, and employment reference letters cause the most ITA-period delays. Verify these first on the checklist — reject incomplete employer letters before they reach the application package.
Hivi-X rush template workflow
Build or reuse an Express Entry checklist template, attach to the client file, share with the client (secure guest link or my-id.ca portal). Track completed vs outstanding items; approve or reject each upload. Export an audit-ready PDF package for CICC records before IRCC portal submission.
Automated email reminders for outstanding items are coming soon. Today, the missing-item dashboard shows what still needs chasing — your team drives follow-up.
