Tenant document collection in Ontario
What tenants are asked to provide in Ontario
A typical Ontario rental application package asks the tenant for proof of identity, proof that they can afford the unit, and a way to verify their history. The exact list varies by landlord, but the common core is consistent.
- Government-issued photo ID.
- Proof of income — recent pay stubs, an employment letter, or a Notice of Assessment for self-employed applicants.
- Current and previous landlord references.
- Credit-check consent (Ontario landlords commonly request a credit report).
- Rental history, and guarantor documents where applicable.
Collecting it securely
Tenant documents are sensitive — IDs and income records should not sit in an email inbox or a group chat. Hivi-X gives the tenant a structured checklist on the my-id.ca portal. Data is stored on Canadian servers, encrypted at rest with AES-256-GCM, and the request is consent-first so the tenant understands what they are sharing and why.
Because the request is structured, you see exactly which items have arrived and which are still outstanding, and you can approve or reject each upload before exporting the package.
From uploads to a landlord-ready package
Once the items are in, Hivi-X assembles them into a single, clean PDF package with a summary, so the landlord or property manager receives one organized file instead of a dozen loose attachments. That speed is often what wins a competitive unit for your applicant.
