The document chase

Chasing candidates quietly costs you placements

Every incomplete file is coordinator time you cannot bill and a placement a faster agency might win.

Functional

Résumés in the inbox; certifications in SharePoint; consent forms lost in email threads — no single view of file completeness before placement.

Emotional

Embarrassed asking a strong candidate twice for the same document; the client thinks you are disorganized; placement delayed because the file was not ready.

Financial

Admin steals time from sourcing and client calls; lost placement revenue; paying coordinators to rename PDFs and chase missing work permits.

Bill 27

Since July 1, 2024, every Ontario temporary help agency and recruiter must hold a provincial licence. ESA inspectors can request records — assignment-employee hour records kept 3 years; foreign-national recruiter records 7 years under EPFNA. Scattered email attachments can be hard to retrieve on request.

How it works

How do recruiters collect candidate documents?

Five honest steps: build a checklist, open a candidate file, collect via the my-id.ca portal, track gaps with approve/reject, export a placement package.

01

Pick a template

Build an Ontario candidate screening checklist or client intake checklist (use the lead-magnet PDF as a starting guide; no pre-seeded staffing library in app yet).

02

Open a candidate file

Attach the checklist to the client/candidate record your team manages in Hivi-X.

03

Share & collect

Share the checklist with the candidate; they can upload via a secure guest link (no account needed — they verify email with a one-time code) or sign in to the my-id.ca portal; your team can add files as they arrive.

04

Track the gaps

See completed vs outstanding items; approve or reject candidate submissions.

05

Export the package

Generate a PDF summary for the placement file, client handoff, or your internal records.

Security & trust

Canadian hosting, self-hosted AI

Candidate documents are sensitive. Hivi-X stores them on servers hosted in Canada, encrypts sensitive fields at rest with AES-256-GCM, secures every connection with TLS, and runs AI on infrastructure Hivi-X operates — candidate data is never sent to OpenAI, Google, Anthropic, or other third-party AI providers. AI summaries are note-taking aids only; they do not screen, rank, or select candidates.

FAQ

Recruiter questions, answered

Many Ontario staffing agencies collect a résumé, government photo ID, work-authorization documents for non-citizens, role-specific certifications, references, and background-check consent before offer — plus SIN and tax forms after hire. Exact items vary by client, role, and law; confirm with your counsel. Hivi-X turns your list into a reusable checklist you share via the my-id.ca portal and track to completion.

Avoid unencrypted email for sensitive candidate PII. Hivi-X provides an encrypted, Canadian-hosted candidate portal and checklist tracking so résumés, work permits, and consent forms stay in one agency-controlled file with item-level review and access logging.

No. Hivi-X is a document-collection and placement-file organization layer. It complements Bullhorn, Greenhouse, Lever, and similar ATS tools — you export organized packages into the system you already use for requisitions and pipeline management.

No. Hivi-X handles the document-collection step ATS platforms treat as an afterthought — requesting, chasing, and assembling candidate and client intake files. You keep your ATS for pipeline and placements; Hivi-X removes the email chase in front of it.

Bill 27 (Working for Workers Act, 2021) requires Ontario temporary help agencies and recruiters to hold a provincial licence since July 1, 2024. Licensed agencies must maintain records ESA inspectors can request — including assignment-employee hour records kept three years. Hivi-X helps organize those documents; it does not provide legal compliance guarantees.

Under the Employment Standards Act, assignment-employee hour records are generally kept at least three years; vacation records five years; and foreign-national recruiter records under EPFNA seven years. Hivi-X helps store organized electronic files on Canadian servers but does not set your retention policy.

No account is required. When you share a checklist, Hivi-X emails a secure link. Candidates can upload via a secure guest link — they verify email with a one-time code and access a branded temporary cabinet — or sign in to the free my-id.ca portal. The portal is mobile-friendly.

Share a checklist with a consent item; the candidate uploads the signed form via the my-id.ca portal; you approve or reject the submission. Your agency remains responsible for lawful consent timing and privacy practices under PIPEDA and applicable law.

Yes — Hivi-X collects and tracks work-authorization uploads (work permit, PR card, etc.) on a checklist. It does not verify eligibility against IRCC or government databases, provide immigration advice, or replace your agency's own authorization review.

On servers hosted in Canada. AI processing uses infrastructure Hivi-X operates — candidate data is not sent to OpenAI, Google, Anthropic, or other third-party AI providers. Sensitive fields use AES-256-GCM at rest; traffic uses TLS.
