Agent document collection workflow

Five steps (honest v1)

StepAction
1. Pick a templateBuild a reusable borrower checklist — purchase, refinance, self-employed, or FTB workflow
2. Open a borrower fileAttach the checklist to the client record in Hivi-X
3. Collect documentsClient uploads via a secure guest link (no account needed) or the my-id.ca portal; add email files manually
4. Track the gapsSee completed vs outstanding; approve or reject submissions
5. Export the packageGenerate PDF for principal broker review or LOS upload

Step 1: Templates per deal type

Do not rebuild the intake list per borrower. Maintain templates for:

  • Purchase A-lender
  • Pre-approval (lighter)
  • Refinance / renewal
  • Self-employed BFS
  • PTD conditions

You define the items — Hivi-X does not ship pre-seeded Ontario mortgage templates in the app library today. A free PDF checklist is available as a starting reference.

Step 3: Portal + manual intake

Share the checklist — email notifies the borrower. They log into my-id.ca and upload per line.

Meanwhile, pay stubs that arrive by email can be added to the borrower record so everything lives in one place.

Step 4: Review discipline

Reject blurry ID. Reject pay stubs from the wrong period. Reject gift letters missing donor proof.

Borrowers resubmit through the portal instead of starting new threads.

Step 5: Hand off to LOS

Export PDF. Upload to Finmo, BOSS, Filogix, or lender portal. Hivi-X stops at export — by design.
