"I already sent that" is almost never a lie — it is a status-tracking failure. The client sent something somewhere. Your file still shows a gap because the upload landed on the wrong line, failed QC, or never left their outbox.

Ontario RCICs should treat approved checklist lines as the only proof of receipt. Email attachments and WhatsApp forwards are clues, not completion. One named line per document, upload timestamp, reject reason, and a missing-item dashboard ends most "I sent it" loops in one message.

Reject reasons that work:

  • Police certificate — rejected: not issued for all countries of residence; need cert covering [country], dates [X–Y].
  • Bank letter — rejected: missing average balance and letterhead; take IRCC spec to branch.
  • Passport — rejected: scan cut off MRZ; full spread, colour, no glare.

Approve only when every named field on your internal spec passes. "Looks fine" is not QC.

Micro-steps for the next "I sent it" message

  1. Open the named line — not the client record summary.
  2. Read last upload time. If blank, they did not successfully send to the portal.
  3. If rejected, resend the same reject text; do not rewrite from memory.
  4. If pending, set expectation: "Received — we QC within [X] business days."
  5. Never mark the file complete while any line is red.
