Foreign bank letter and proof of funds QC for RCICs

A client sent "proof of funds" that is a mobile banking screenshot showing a ₹ balance and an emoji. That is not the official bank letter IRCC describes for Express Entry settlement funds. Your file should have rejected it Tuesday.

Direct answer

QC foreign funds on named lines: official letters from banks or financial institutions (letterhead + IRCC field list), correct account holder / legal access, date currency per program rules, gift chain documented separately. Reject mobile screenshots, third-party accounts without explanation, and PDFs missing pages or required letter fields. Overseas clients use guest link; you approve before portal.

What IRCC describes for Express Entry letters (confirm live)

IRCC’s Express Entry proof-of-funds guidance states applicants need official letters printed on the financial institution’s letterhead, including:

Element (IRCC themes)QC check
Institution contact informationAddress, telephone, email
Applicant nameMatches the application
Outstanding debtsCredit cards, loans — as with that institution
Per account: numbersIdentifies each account
Per account: date openedAccount history
Per account: current balanceFunds now
Per account: average balance past 6 monthsStability over time

Funds must typically be available when applying and when a PR visa is issued. Do not invent minimum CAD amounts in the article body — use IRCC’s current table for the family size on that file.

Some applicants may not need to show settlement funds (for example certain Canadian Experience Class or valid job-offer situations described by IRCC) and may instead upload an explanation letter. Verify before skipping funds lines.

Soft product mention

Missing-item dashboard shows which family member still owes updated letters. Co-agent can chase a donor letter while you QC the principal’s conversion notes (your math, not Hivi-X).

Frequently asked questions

How recent must bank letters be?
Funds must typically be available when the client applies and when a PR visa is issued if approved. Your checklist description should state the currency window you enforce at intake — confirm live IRCC proof-of-funds guidance for the program.
What must an Express Entry bank letter include?
Per IRCC’s published Express Entry proof-of-funds list: letterhead with institution contact info (address, telephone, email); the applicant’s name; outstanding debts; and for each account — account numbers, date opened, current balance, and average balance for the past 6 months. Re-check the live page if wording changes.
Can gift funds sit on the same line as personal savings?
Separate lines — personal statements/letters, gift letter, and donor proof each get QC. Confirm legal access rules with counsel.
What if the bank only issues paper?
Scan all pages to a readable PDF; reject photos missing letterhead, contacts, or required fields.
Does Hivi-X convert currency or check minimum amounts?
No. You assess adequacy against current IRCC tables; software holds documents.
Guest link for a client abroad?
Yes — OTP upload without a my-id.ca account when guest access is enabled.
