Email is not document collection for insurance brokers
Email is not document collection for insurance brokers
Email was not built for insurance application packages
Ontario insurance brokers collect sensitive client documents on every new business file and many renewals. For personal auto, that can include government photo ID, a prior policy declaration page, a driver's abstract, vehicle registration, signed application forms, and the disclosure and quote documentation RIBO expects in the client file.
For many producers, all of this still happens through email.
That creates a familiar problem. One document is attached to an email. Another arrives by text message. A dec page is in a carrier portal. A driver abstract is still missing. A CSR forwards an attachment into the wrong client folder. Nothing shows whether the file is complete before you quote or bind.
This is one of the most common hidden time drains in Ontario brokerages.
The client sees a few simple requests. The producer sees the full mess.
Why this matters for Ontario personal auto
Personal auto is volume-heavy and document-heavy. When a client shops mid-term or at renewal, a complete application package can mean the difference between placing the risk today and chasing attachments for another week.
Speed matters, but speed without organization creates compliance risk.
RIBO spot checks review whether brokerages maintain defensible client files — including written evidence that mandatory disclosures were provided by the time of quote. In the 2023–24 fiscal year, RIBO reported that 57% of spot-checked brokerages lacked written disclosure documentation in client files. Scattered intake makes it harder to prove what was collected and when.
If a producer submits an incomplete package to an MGA or carrier, the quote stalls. If they spend too long chasing email attachments, they lose time that could be spent on renewals and new business.
A better process starts before the first document is requested.
The better workflow: one checklist, one client file
Instead of collecting documents one message at a time, Ontario brokers should use a repeatable intake checklist per client.
For personal auto new business, the checklist may include:
- Government-issued photo ID (driver's licence)
- Prior policy declaration page (or letter of experience)
- Driver's abstract / motor vehicle record
- Vehicle registration or bill of sale (if applicable)
- Garaging address confirmation
- List of additional drivers
- Signed application / CSIO auto application
- TAC quote log fields: premium, market, broker comments (per RIBO Guidance 004)
- CISRO Principles and RIBO Fact Sheet delivery record
- Mandatory disclosure communication record at or before quote (RIBO-002)
The goal is not to make the client do more work. The goal is to make the request clear.
When clients know exactly what is required, they are less likely to send partial information. When the producer can track what is missing, follow-up becomes faster and more professional.
How Hivi-X helps Ontario insurance brokers
Hivi-X is Canadian document-collection software for Ontario insurance brokers. It helps producers request documents, use reusable checklists, track submission status, approve or reject client uploads, record voice notes with self-hosted AI summaries, and export PDF packages for BMS upload.
For a solo producer or small team, that means Hivi-X can support the messy document step between the client conversation and the bind-ready file.
It helps answer practical questions:
- What did I request?
- What has the client submitted?
- What is still missing?
- Which file belongs to which policyholder?
- How can I package this for my BMS client folder?
Hivi-X stores data on Canadian servers, encrypts sensitive fields at rest with AES-256-GCM, secures connections with TLS, and runs AI on infrastructure Hivi-X operates — client data is not sent to OpenAI, Google, Anthropic, or other third-party AI providers.
Clients upload via a secure guest link (no account needed) or the my-id.ca portal. Your team can also add files as they arrive from carriers or MGAs.
Hivi-X does not replace your BMS
Many Ontario brokerages already use Applied Epic, Vertafore SIG, Power Broker, or similar systems for policy admin, eDocs, rating, and accounting. Hivi-X is not meant to replace any of that.
It is meant to solve the pre-bind document collection problem.
The painful part is often not the final bind or policy issuance. It is everything before that: asking, explaining, checking, following up, organizing, and documenting advice in the client file.
That is where a clear document collection workflow can save time and strengthen spot-check readiness.

Frequently asked questions
- Why is email a poor document collection tool for insurance brokers?
- Email scatters documents across threads, arrives in mixed formats, and gives no checklist view of what is still outstanding. Producers spend time renaming, sorting, and following up instead of placing risk. A structured intake checklist keeps everything on one client record.
- What documents go into an Ontario personal auto application?
- Typically government photo ID, prior policy declaration page, driver's abstract, vehicle details, signed application forms, TAC quote log fields, CISRO/Fact Sheet delivery record, and mandatory disclosure communication at quote. Hivi-X lets you build this as a reusable checklist.
- Does Hivi-X replace my BMS?
- No. Hivi-X handles the pre-bind document collection step — requesting, tracking, approving, summarizing, and exporting documents — before you upload the finished package to Applied Epic, Vertafore SIG, Power Broker, or your current BMS.
Organize broker client files without the email chase
Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
