Hivi-X with Applied Epic intake stack Ontario

Hivi-X with Applied Epic intake stack Ontario

Epic is strong at policies, accounting, and brokerage workflow. It was not built to tell a Brampton client at 9 p.m. exactly which garage proof is still missing. Split the workflow: collect outside, record inside.

Direct answer

Use Hivi-X for document intake and QC. Use Applied Epic for policy administration. Export a completed PDF package from Hivi-X and attach it to the Epic client or submission record before bind.

Recommended stack flow

Client → Hivi-X checklist (guest link or portal)
       → Producer/CSR QC (approve/reject)
       → Export PDF package
→ Epic attachment + bind activities
→ CSR services the policy in Epic

Document of recordEpic (+ export)Epic holds the policy file; Hivi-X export proves intake completeness

Applied Epic includes document-management capabilities for documents already in the brokerage. That does not replace a client-facing checklist with approve/reject before the abstract arrives.

What not to do

  • Treat Epic activity notes as the only client file — see BMS entry is not the client file
  • Email chase without a missing-item list
  • Bind with a driver’s abstract “promised tomorrow”

Principal Broker visibility

Epic reports policies and activities. Hivi-X shows which intake items are still open across producers — useful when sampling files for completeness before bind. See exportable PDF for BMS upload.

How Hivi-X helps

Reusable auto, home, and life intake checklists; guest link (email OTP); Canadian hosting; co-agent for CSRs; PDF export sized for Epic attachments. No automated Epic sync — intentional simplicity, not a hidden integration promise.

Frequently asked questions

Does Hivi-X integrate with Applied Epic?
There is no live API sync. Workflow is export PDF from Hivi-X and attach or upload into Epic — same as many brokerages already do with email attachments.
Should producers enter documents only in Epic?
Epic is typically the system of record for the policy and often stores documents once received. Client-facing collection and missing-item tracking still work better on a named checklist before bind.
Can CSRs use the same checklist?
Yes. Co-agent access and reusable templates standardize intake across producers and CSRs.
Is guest link PIPEDA-friendly?
Hivi-X is Canadian-hosted with AES-256-GCM encryption. Your brokerage still owns consent and retention policies — confirm with your principal broker and counsel.
Does Hivi-X replace Epic activities?
No. Log bind steps and diary items in Epic. Hivi-X handles document chase visibility.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
