Broker management systems serve a different purpose

Many Ontario brokerages run Applied Epic, Vertafore SIG, Power Broker, or similar broker management systems. Those platforms are important for policy administration, renewals, eDocs, commissions, and accounting.

But they may not solve the client-facing collection step before bind.

The gap before the BMS upload

Before the file reaches your BMS client folder, the producer may still need to collect documents from the policyholder:

  • Government-issued photo ID
  • Prior policy declaration page
  • Driver's abstract
  • Vehicle details and registration
  • Signed application forms
  • TAC quote log evidence
  • CISRO/Fact Sheet and disclosure records
  • Voice or written notes documenting advice

That work often happens through email, text messages, and carrier portals — outside the BMS.

Why this matters for personal auto

Personal auto is high-volume. A producer handling dozens of new-business and renewal files each month cannot manually track every missing abstract across six inboxes.

If the client-facing process is messy, the BMS upload may still be messy. The CSR spends time renaming files, checking missing items, asking for resends, and explaining what the client should provide.

The BMS is the system of record for the policy. It is not always the system of record for what the client still owes before quote.

Why not just use the BMS client folder for intake?

Does Hivi-X handle eDocs from insurers?
