ITN holder auto insurance documents — Ontario brokers

"I don't have a SIN yet" is not a complete answer for your CSR — it is the start of a document list that carriers will scrutinize.

Direct answer

Use a newcomer / tax-ID-aware auto checklist: identity, licence, abstract, registration/ownership, prior insurance — and a CRA ITN (or other tax identifier) line only when the market asks for one. QC before quote/bind. Hivi-X tracks lines; underwriting decisions stay with carrier/MGA.

An Individual Tax Number (ITN) is a CRA nine-digit tax number for people who need to deal with the Agency and are not eligible for a SIN. It does not replace a driver’s licence, prove immigration status for underwriting, or guarantee any carrier will bind the risk.

ITN vs SIN on the intake (ops framing)

LineWhen client has ITNWhen client has SIN
Tax identifier (if market asks)CRA ITN letter / CRA documentationSIN details per brokerage/privacy policy
Licence historyOften shorter / foreign exchange in progressMay be longer Ontario history
Prior insuranceLetter of experience commonDec page / Canadian history

Do not treat “has ITN” as a product class. Many delays are licence exchange, abstract timing, and prior-insurance proof — not the tax number itself.

Tool fit

Newcomer-heavy GTA brokerage? A dedicated template reduces CSR confusion between SIN card requests and ITN letters. Rural book with two such files a year? A custom email list can work if someone still QC’s before bind.

Hivi-X: named lines, guest upload, approve/reject, PDF export. Not an underwriting engine, not CRA validation, not a BMS replacement.

Frequently asked questions

Is an ITN the same as a U.S. ITIN?
No. ITN here means the Canada Revenue Agency Individual Tax Number (often applied for via Form T1261 for non-residents ineligible for a SIN). Do not confuse it with the U.S. IRS ITIN.
Can clients insure a car in Ontario without a SIN?
Auto insurance is compulsory to drive/own as required by Ontario law, but private carriers set their own underwriting and identifier rules. Many newcomers are quoted without a SIN when licensing and risk documents are complete — confirm each market; do not invent a statutory SIN requirement for the policy file.
What documents should these auto files include?
Typically government photo ID, valid Ontario licence (or eligible history), current abstract, vehicle ownership/registration, and prior insurance/letter of experience if any — plus immigration/status docs when the market asks. Add CRA ITN letter or other tax-ID proof only when that market requests a tax identifier.
Do these clients need a different checklist template?
Use a newcomer/auto variant: keep core underwriting lines, and swap or add a tax-ID line so CSRs do not demand a SIN card when the client has an ITN — or vice versa.
Does Hivi-X validate ITN format or insurability?
No. Brokers QC readability and completeness; carriers/MGAs confirm acceptance.
