Practice management vs document collection for psychotherapy

Practice management vs document collection for psychotherapy

Two different problems

Practice management / EMR answers: When is the appointment? How do I bill? Where are session notes and treatment plans?

Document collection answers: What did I request? What did the client submit? What is still missing before session one?

Complement, not replace

Hivi-X is the intake layer alongside your practice tools. Session notes and CRPO Standard 5.1 clinical records remain in your charting system.

General information for Ontario psychotherapists and counselling practices only. Not legal, clinical, privacy, or psychotherapy advice. Not affiliated with or endorsed by CRPO or any college. Hivi-X is document-collection software — it is not a licensed psychotherapist, does not provide psychotherapy or clinical assessments, does not certify PHIPA or CRPO compliance, and does not replace your EMR or clinical record obligations. You remain the health information custodian under PHIPA. Consult qualified counsel and your professional liability insurer.

Answers are general operational information only — not legal, tax, regulatory, clinical, privacy, immigration, or professional advice. Requirements vary by matter, client, and regulator.

Frequently asked questions

Is Hivi-X practice management software?
No. Hivi-X is an intake and document-collection layer. It does not schedule appointments, process payments, or store session notes as your EMR does.
Why add Hivi-X if Jane has forms?
Jane's forms module can collect some intake, but pre-session completeness across email, text, and portal uploads is often still manual. Hivi-X is checklist-centric with item-level review before session one.
Can I chart on paper and use Hivi-X only for intake?
Yes. Solo practitioners who chart on paper often use Hivi-X solely for secure intake collection and PDF export into a secure archive.

Collect complete intake before session one

Hivi-X helps Ontario CRPO psychotherapists and counsellors collect informed consent, biopsychosocial forms, insurance cards, and telehealth consent with reusable checklists, a secure guest link (no account needed) or my-id.ca portal, self-hosted AI summaries, and exportable intake packages for Jane, Owl Practice, or your EMR.
