Foreign employer letter and payroll proof (RCICs)

Foreign employer letter and payroll proof (RCICs)

A WhatsApp PDF from "HR" without letterhead is not a defensible employer reference — it is a reject waiting for ITA day.

Direct answer

Ontario RCICs collect foreign employer reference letters and supporting payroll evidence for work-history claims. IRCC’s common supporting-documents list includes reference letters (with job duties, dates worked, and salary), employment contracts, pay stubs, and tax documents (T4s, notices of assessment, and similar). Practice-standard QC usually also checks letterhead/contact details, hours per week, and a named signatory — confirm live guidance per file. Reject unsigned templates. Certified translation on separate lines for non-English/French docs.

Frequently asked questions

What belongs in a foreign employer reference letter?
IRCC’s supporting-documents guidance lists reference letters with job duties, dates worked, and salary. In practice, officers also expect enough detail to verify the claim — typically company letterhead/contact info, job title, hours per week, and a signed issuer with contact details. Confirm live IRCC and program instructions.
Can payslips replace the letter?
Payslips, contracts, and tax documents support the claim; they rarely replace a duty-focused reference letter on their own. Use both lines when your practice requires corroboration.
Self-employed abroad?
Different evidence set — business registration, tax docs, contracts, client invoices. Separate template. Confirm program eligibility for self-employment claims.
Translation required?
Documents not in English or French typically need a certified translation for IRCC. Collect original and translation as separate checklist items.
Does Hivi-X verify NOC match?
No. You QC content against the claimed NOC; Hivi-X tracks approved letter and payroll lines.
