Spouse abroad separate upload workflow (RCICs)

Spouse abroad separate upload workflow (RCICs)

Merged "couple docs" folders are how two passports become one corrupted PDF.

Direct answer

Ontario RCICs run spouse-abroad files with per-person named lines, a guest link for the overseas spouse, and line-level approve/reject. Joint relationship evidence stays on shared lines; police certificates and passports stay separate. Confirm every required slot against the live IRCC (or sponsorship) checklist for that file.

Why split collection matters

Outland sponsorship and Express Entry household files often require identity documents for each person, country-specific police certificates based on residence history, and joint relationship evidence. Overseas spouses may face different scan quality, language, and postal delays. One email thread titled "docs" cannot show which person is still missing which page.

Medical exams, biometrics, and police-certificate timing vary by program and country — treat those as program rules, not portal features. Your intake software only tracks what you put on the checklist.

QC rules

  • Reject spouse police certificate without touching principal approved lines.
  • Put reject notes on the spouse's guest-visible line — avoid "partner will forward it" telephone games.
  • Name match: spouse passport spelling should align with the marriage certificate and forms — see name mismatch QC.
  • Translations: machine output is not a certified path — see stop treating Google Translate as certified.

Frequently asked questions

One portal or two?
Typically one client file; separate lines labeled by person. A guest link can target the overseas spouse email on the same business+client grant scope.
Who QC's spouse docs?
Same RCIC team — co-agent sees all lines; the spouse typically sees only their upload tasks when using guest access.
Relationship evidence?
Joint lines (marriage certificate, photos timeline, cohabitation proof) plus individual civil docs — do not merge passports into the relationship zip.
Time zones?
Written reject notes work asynchronously — the spouse can upload while Ontario sleeps. Hivi-X does not send automated reminders.
Does Hivi-X merge spouses automatically?
No. You structure lines; guest link controls access.
