Why this is a file-management issue

CICC’s Client File Management Regulation expects licensees to keep accurate, up-to-date client records and to use a clear and coherent system to open, retrieve, and maintain active files. Parallel matters that each reinvent the document chase create conflicting “received” states and weak audit trails. One master identity section with matter-specific form packages is coherent; four Gmail threads titled “passport??” is not.

Firm discipline

Before sending chase, check master file status. Co-agent visibility prevents duplicate pings from junior staff. If two retainers exist (for example temporary resident and permanent residence), label property and notes so staff know which package is for which submission.
