Adobe Sign + Acrobat vs immigration intake for RCICs

Adobe Sign + Acrobat vs immigration intake for RCICs

You already pay for Adobe. Sales asks why you need another tool. Fair — if Adobe solved missing police certificates, nobody would chase email.

Direct answer

Keep Adobe Sign for retainer signatures. Add Hivi-X when supporting document intake breaks — blurry scans, missing lines, overseas clients without Adobe accounts. Hivi-X does not replace Acrobat for form filling or Adobe Sign for contracts.

What this looks like in practice

Retainer signed beautifully in Adobe Sign. Client uploads police cert to the coordinator's Gmail because Adobe never asked for it. ITA week: signed retainer in one system, missing cert in another. Adobe stays; checklist intake catches what e-sign never tracked.

CICC’s Client File Management framing is about an organized client file tied to the retainer — not a single PDF signature. Signed retainer + incomplete evidence pile is still an incomplete file for practice inspection.

When to skip Hivi-X

Adobe + disciplined Drive + one coordinator who updates a spreadsheet daily. If that describes your firm honestly, save the subscription.

When Adobe stack is not enough

  • ITA season with 20 open files
  • Coordinators reject scans but clients re-upload to email instead of the rejected line
  • Principal RCIC asks "is this file complete?" and the answer takes 20 minutes

That is hours saved math, not feature shopping.

Frequently asked questions

Does Adobe Sign replace immigration document collection?
No. E-sign handles agreements. Supporting documents need per-item tracking, QC, and resubmit workflow.
Can clients upload supporting docs through Adobe?
Not in the same missing-item model unless you build custom workflows. Most firms still use email or Drive for supporting docs.
Should RCICs drop Adobe if they use Hivi-X?
Keep Adobe for signing if it works. Add Hivi-X for intake completeness — different jobs.
Does Hivi-X integrate with Adobe Sign?
No native integration claimed. Export signed retainers into your CICC file per firm policy.
How does this relate to CICC file duties?
CICC Client File Management Regulation expects licensees to open and maintain a client file with required records and to retain closed files securely for the prescribed period (commonly a minimum of six years after closure — confirm current CICC text). E-sign alone does not prove every supporting document was collected and QC’d.
When is Adobe alone enough?
Solo RCIC, low volume, clients who email complete PDF sets on first ask — uncommon.
