Invoices, receipts, and related billing PDFs belong in the client file — on named billing checklist lines — not only in QuickBooks or a personal mailbox. CICC’s Client File Management Regulation states that a licensee shall maintain a client file that contains, at a minimum, copies of billing documents (e.g. invoices, receipts, etc.), together with retainers, supporting documents, correspondence, and application copies. Retain the closed file securely and accessibly for at least six years after closure.

Separately, the Code of Professional Conduct (federal regulation for College licensees) sets rules for advance payments in a client account, receipts, invoicing before withdrawal, and final accounting on completion or termination. Those obligations live in your trust / client-account workflow; Hivi-X only stores document copies you attach.

Does CICC require invoices in the client file?
Yes — the Client File Management Regulation lists copies of billing documents (e.g. invoices, receipts) among the minimum contents of a client file. This article is operational organization, not a full legal interpretation.
Should the trust ledger live in Hivi-X?
