Stop split spouse uploads in the same household

Stop split spouse uploads in the same household

Direct answer

When spouses live in the same Ontario household but upload on different days and different apps, RCICs need one file, named items per person, and a missing-item dashboard — not two parallel inboxes. Hivi-X tracks completeness; it does not invent family composition or replace IRCC's personalized checklist.

How same-household files still split

Even when both partners sit at the same kitchen table in Brampton or Scarborough:

  • Principal uses the portal once
  • Spouse forwards a PDF from work email
  • Admin saves a police certificate from iMessage
  • Child's medical confirmation lands in a third thread

The file is geographically one household and operationally four channels.

Why IRCC still cares about each person

On many Express Entry and family-class files, accompanying spouses and dependants typically need their own identity documents (for example passport biographical pages), and adults often need police certificates where residence history requires them. Relationship evidence (marriage certificate, common-law cohabitation package) is usually joint. Your ops checklist should mirror the personalized IRCC list for that application — program rules change; verify before you approve "complete."

Checklist structure that works

PersonExample named items
PrincipalPassport bio page, language test, employment letter, proof of funds (if required)
SpousePassport bio page, police certificate (if required), language results (if claimed)
JointMarriage certificate or common-law evidence package
DependentsBirth certificate, passport, custody/consent docs where applicable

One dashboard row per item. Principals see "Spouse — police certificate: missing" without opening WhatsApp.

Pair with spousal sponsorship package, common-law evidence, and spouse abroad workflow.

Hivi-X mid-file proof

Hivi-X keeps principal and spouse uploads on one client file with approve/reject QC. If the spouse refuses another login, send a guest link with email OTP. Your admin can still upload chat fallbacks onto the correct line so the dashboard stays honest.

Co-agent lets a junior chase spouse items while the RCIC reviews principal employment letters. Export a PDF package when both sides show approved. No WhatsApp sync. No automated reminders.

Frequently asked questions

Should spouses share one immigration client file?
For in-Canada spousal or Express Entry household files, one operational file with separate checklist items per person is usually cleaner than parallel email threads. Confirm program structure with your retainer and current IRCC checklists.
What if only one spouse will use the portal?
The other can use a guest link with email OTP, or your admin uploads what arrives on chat onto the correct spouse line the same day.
How do RCICs avoid duplicate uploads?
Item-level status shows approved vs submitted. Reject duplicates in QC rather than letting three bank statements sit unlabeled in a folder.
Do both spouses usually need their own identity docs?
On many permanent-residence paths, principal and accompanying family members each need identity and other supporting documents on the personalized checklist — verify the live list for that file.
Does Hivi-X merge spouse emails automatically?
No. You structure the checklist and grant access appropriately. The dashboard reflects completeness per named item.
