Driver abstract collection for Ontario auto applications
Driver abstract collection for Ontario auto applications
The abstract is non-negotiable — and often missing
For Ontario personal auto, the driver's abstract (motor vehicle record) is one of the first documents a producer requests after ID and the prior policy dec page.
It is also one of the most common reasons a file stalls.
Clients may not know how to order it from ServiceOntario. They may send an expired copy. They may confuse the abstract with the licence photo. Additional drivers may need separate abstracts that never arrive.
By the time someone notices, the quote or bind may already be scheduled.
What the abstract confirms
The abstract helps carriers and MGAs assess:
- Licence status and class
- Convictions and suspensions
- Claims and accident history context relevant to underwriting
Without it, rating may be incomplete or the submission may bounce back from the MGA — triggering another round of follow-up.
Common collection problems
- Wrong document — licence photo instead of abstract.
- Expired abstract — ordered months ago for another purpose.
- Missing additional drivers — primary driver's abstract arrived; secondary driver ignored.
- Scattered delivery — abstract in email, dec page in text, application still unsigned.
Email does not flag "abstract still missing." Only a checklist does.
Track abstracts per driver on the client file
A practical Ontario auto intake checklist should include:
- Driver's abstract — principal driver
- Driver's abstract — additional driver 1 (if applicable)
- Driver's abstract — additional driver 2 (if applicable)
- Government-issued photo ID (matching each driver)
- Prior policy dec page
- Signed application listing all drivers
Each line item gets a status: todo, submitted, approved, or rejected.
If a client uploads an unreadable scan, reject it with a short reason. The client resubmits through the my-id.ca portal on the same checklist item.
How Hivi-X helps
Hivi-X is document-collection software for Ontario insurance brokers. Build a personal auto template with abstract line items once, reuse it per client, and export a complete PDF package for your BMS when intake is finished.
Your team can also upload abstracts ordered on behalf of the client or received from ServiceOntario by mail.
Hivi-X does not order abstracts from ServiceOntario or verify licence status — it organizes the documents your producers collect.
Faster files, fewer bind delays
Making the abstract visible early — alongside the dec page and signed application — reduces the morning-of-bind panic that costs Ontario producers time every week.

Frequently asked questions
- Why do Ontario auto brokers need a driver's abstract?
- Carriers and MGAs use the abstract to verify licence status, convictions, and claims history context. It is standard intake for new business and often required when adding drivers at renewal.
- What if the client sends an expired abstract?
- Producers can reject the upload in Hivi-X with a reason and ask the client to submit a current copy through the same portal — without starting a new email thread.
- Do additional drivers need abstracts too?
- Often yes. Add a checklist line per driver so each abstract is tracked separately on the client file.
