EMR vs document collection for physiotherapy

EMR vs document collection for physiotherapy

Two layers, one patient file

Ontario physiotherapy clinics typically run on Jane, Cliniko, ClinicSense, or GlobeMed for scheduling, charting, and billing. Those systems are the chart of record.

Pre-visit intake is a different workflow. Documents arrive from patients, family doctors, employers, adjusters, and hospitals through channels the EMR never fully owns.

LayerRoleExamples

Document collectionPre-visit gather + reviewReferrals, insurance cards, WSIB metadata, adjuster letters, consent PDFs

Hivi-X operates in the second layer.

Where EMR portals fall short

Practice software patient portals work well for in-app questionnaires and card-on-file. They struggle when:

  • A referral arrives by fax after the portal link was sent
  • WSIB employer correspondence goes to the clinic email
  • An MVA adjuster sends a PDF to the office manager
  • A hospital discharge summary needs to be linked before day one

Hivi-X tracks these on a checklist with approve/reject and exports a package for EMR upload.

Honest positioning

Hivi-X does not replace your EMR, WSIB billing portal, or college chart. It reduces eval-day admin by finishing intake before the visit.

General operational information for Ontario physiotherapy and rehabilitation clinics only — not legal, clinical, privacy, or billing advice. Your clinic remains the health information custodian under PHIPA. Hivi-X is document-collection software; it is not an EMR, does not submit WSIB Form 8, and does not certify college or PHIPA compliance.

Frequently asked questions

Is Hivi-X an EMR or practice management system?
No. Hivi-X does not schedule appointments, write treatment notes, or submit WSIB Form 8. It collects and reviews pre-visit documents for export into your EMR.
Why not use only the Jane or Cliniko patient portal?
EMR portals handle many in-app forms well. Faxed MD referrals, WSIB employer letters, MVA adjuster packages, and hospital discharge summaries often arrive outside the portal and need checklist tracking.
Is Hivi-X OntarioMD certified?
No. Hivi-X is not an OntarioMD-certified EMR and is not OLIS integrated. It complements the certified system you already use.

Collect complete patient intake before the appointment

Hivi-X helps Ontario physiotherapy and rehabilitation clinics request health history, consent, insurance cards, referrals, and WSIB/MVA documents with reusable checklists, a secure guest link (no account needed) or my-id.ca portal, self-hosted AI summaries, and exportable packages for Jane, Cliniko, or your EMR.
