Insurance card verification before visits
Insurance card verification before visits
Do not verify at check-in only
When card verification waits until the patient stands at the desk, the queue backs up. Billing staff get incomplete files. Therapists start late.
Checklist lines that work
- Benefits card — front (clear photo)
- Benefits card — back (policy number visible)
- Plan holder name if dependent coverage
- Secondary plan card (if applicable)
Reception approves each line. Missing back-of-card is visible on the dashboard — not discovered when direct billing runs.
PHIPA note
Insurance card images are PHI. Collect them through a clinic-controlled workflow with access limits — not casual email or text.
General operational information for Ontario physiotherapy and rehabilitation clinics only — not legal, clinical, privacy, or billing advice. Your clinic remains the health information custodian under PHIPA. Hivi-X is document-collection software; it is not an EMR, does not submit WSIB Form 8, and does not certify college or PHIPA compliance.
Answers are general operational information only — not legal, tax, regulatory, clinical, privacy, immigration, or professional advice. Requirements vary by matter, client, and regulator.
Frequently asked questions
- When should insurance cards be verified?
- Ideally two to five days before the first visit — enough time to request a clearer photo or updated card without delaying treatment.
- What if the patient uploads a blurry card photo?
- Use item-level reject in Hivi-X with a note asking for a retake. The patient sees which checklist line needs replacement in the portal.
- Does Hivi-X store card images securely?
- Yes — Canadian hosting, AES-256-GCM at rest, TLS in transit. Your clinic remains the PHIPA custodian and should include the vendor in privacy assessments.
