Ontario RCICs preparing for CICC client-file scrutiny should use descriptive checklist line names (often aligned to IRCC document types), reject ambiguous uploads, and export PDF packages where each document is identifiable without opening it. Mirror approved line names in your CRM archive — not email attachment defaults.

What the College actually requires

The Client File Management Regulation does not say "auditors will grade your folder names." It does require every licensee to employ a clear and coherent system to:

  • open and maintain active files
  • label and identify Client Property
  • store and easily retrieve active and closed files
  • close, retain, destroy, and dispose of closed files

The Code of Professional Conduct separately requires a reliable system of office administration and record preservation. Naming conventions are how firms usually meet those producibility duties — not a freestanding statute about ZIP titles.

Should line names match IRCC portal labels?

Reject or rename on export — a reviewer should see 'Passport — bio page' not camera-roll names.
