Agent posts "excited for the next chapter." Active buyer file still lives in their personal OneDrive. A Broker of Record change — or an agent transfer — without document export is how FINTRAC and amendment gaps appear at closing.

Teams often say “BOR change” when they mean an agent switching brokerages. Use the correct label on the handoff checklist so compliance knows which filings and which file-ownership rules apply.

In either case: trade records are brokerage records. Personal cloud folders, phone photo rolls, and “I’ll send it Monday” are not a compliance handoff.

Ontario brokerages should treat leadership and registrant transitions as a document handoff: export complete transaction checklists — FINTRAC ID, agreements, amendments, receipt-of-funds records — before the departing person’s access is cut. Checklist ownership follows the deal and the brokerage, not the agent’s Gmail.

Handoff workflow

  1. Inventory active deals — purchase, lease, listing — with checklist completeness status.
  2. Export PDF packages per deal from the document-collection layer — not a zip of random downloads.
  3. Receiving brokerage or new BOR / TC imports to their checklist templates — QC missing lines immediately.
  4. Co-agent continuity — transaction coordinator access survives agent departure when tied to a brokerage-controlled account.
  5. Log communication — clients notified which brokerage (and which contacts) now hold their file, consistent with representation agreements and counsel guidance.
  6. Complete RECO notices — BOR change and/or registrant transfer/termination filings are separate from the document export; do both.

What documents transfer in an Ontario brokerage handoff?
