Void cheque IRCC fee payment proof QC

Void cheque IRCC fee payment proof QC

A blurry cheque photo is not IRCC fee proof — and for most modern filings, IRCC is not asking for a void cheque to pay fees in the first place.

Direct answer

QC the right artifact. For IRCC fees, that is usually the official payment receipt (and portal confirmation) after card payment. Collect a void cheque or direct-deposit form only when your firm process or a third party actually needs banking coordinates — and keep that line separate from fee-receipt QC.

Ontario RCICs who mix "void cheque" with "IRCC fee paid" create confused clients and incomplete files.

What IRCC fee payment typically looks like

Current IRCC online fee guidance generally directs applicants to pay with accepted credit, prepaid, or debit cards through the official payment service or inside the online application. After payment, IRCC emails a receipt — and for many workflows you must keep or attach that receipt.

ArtifactUsually forCommon fail
IRCC fee receipt / portal confirmationProof fees were paidMissing receipt, wrong name/fee type, illegible scan
Void cheque / bank direct-deposit PDFFirm PAD or other banking setup — not default IRCC fee methodCropped MICR, wrong account holder, HEIC nobody opens
Cardholder mismatch noteWhen payer card name ≠ applicantNo explanation on file when policy allows third-party cards

Confirm payment options for the specific application — not all products use the same path.

Client-friendly intake

  1. Say whether you need a fee receipt, banking coordinates, or both — clients confuse them.
  2. For fees: walk them through the official payment flow; ask for the receipt PDF, not a void cheque.
  3. For firm PAD or similar: accept bank-app "void cheque" / direct-deposit PDFs when your process allows.
  4. Guest link beats email for clients who lose attachments.
  5. One rejection reason: "Transit number cut off — please retake with all digits visible."

File management

Store fee and banking artifacts with:

  • Date received
  • QC approval note
  • Link to invoice, retainer PAD, or portal confirmation as applicable

Client File Management Regulation themes: supporting documents and billing records belong on the coherent client file — not only in a payment email thread. See CICC client file management.

How Hivi-X helps

Add separate lines such as IRCC fee receipt and, only if needed, Void cheque — firm PAD / banking setup. Track missing vs received. Approve or reject with one tap. Export the payment section with the rest of the file for principal review.

Canadian hosting with AES-256-GCM encryption supports PIPEDA-conscious practices — still not a substitute for your own retention policy. Hivi-X does not process card payments or set up PAD.

Frequently asked questions

Does IRCC take void cheques for application fees?
Current IRCC online fee guidance describes payment by accepted cards through the official payment flow. Do not assume a void cheque is the fee method — confirm the payment options for that application type.
What should RCICs file as fee payment proof?
Typically the official fee receipt (and any portal-linked confirmation). For paper or receipt-attach workflows, keep a legible copy on the client file. Verify current IRCC instructions for that program.
When does a void cheque still appear on an immigration file?
Often for firm retainer PAD, employer payroll setup for the client, or other banking-coordinate asks — not as the standard IRCC fee instrument. Label the checklist line for the real purpose.
Can clients send a bank letter instead of a void cheque?
For banking-coordinate requests, some parties accept a bank-issued direct-deposit form or letter. Follow the requester's instructions — do not substitute for IRCC fee proof without checking current requirements.
Does Hivi-X process IRCC payments?
No. Hivi-X collects and QC's the documents you request. Your RCIC still pays and enters payment details in the IRCC payment flow or portal.
