IRCC submission confirmation records belong in every Ontario RCIC client file after e-filing. Portals generate confirmations — but if nobody saves them to the client file, CICC disclosure requests and client status inquiries become archaeology projects.

Submission confirmation is not always the AOR

Keep these distinct in the checklist:

Save confirmations the same day as submission — not the week a client asks for their application number. Add a separate line for AOR so the file does not pretend the first email finished the story.

Post-submission workflow

  1. Export the complete document package from intake QC.
  2. Submit through the appropriate representative / IRCC portal for that program.
  3. Screenshot or PDF-export the acknowledgement / transaction screen immediately.
  4. Upload confirmation to the client file post-submission section.
  5. When AOR (or equivalent) arrives, file it on its own checklist line with application number.
  6. Notify the client with the identifiers you actually have and the expected next step — without inventing processing timelines.

Why email confirmations are insufficient

Portal confirmations forwarded to the client sometimes never return to the firm file. Co-agents submit on Friday and save the screenshot locally. Principal RCIC cannot verify submission during a CICC review. The Client File Management Regulation expects copies of immigration/citizenship applications or submissions on behalf of a client in the file — confirmation artifacts are how firms usually prove that submission happened.

A checklist line for "submission confirmation" (and another for "AOR") with approve/reject QC ensures the record lands in the exportable client file.

Frequently asked questions

What IRCC portal acknowledgements should RCICs save?
Immediate submission confirmation (screen/PDF/email), payment or transaction receipt where applicable, later AOR when issued, and application number / UCI once available. Verify what your program generates — portals differ.
Is the immediate submission email the same as an AOR?
Often no. IRCC materials for several online pathways state you may get an immediate email confirming successful submission, and that email is not an Acknowledgement of Receipt. The AOR typically follows after IRCC checks the application is complete. Treat them as separate file items.
Should RCICs screenshot the IRCC portal after submission?
Yes, as firm practice. Save a dated screenshot or PDF of the confirmation / transaction page showing whatever identifiers the portal displays. Authorized paid representative portal guidance commonly tells representatives to print the transaction thank-you page and keep it for their records.
How long should submission records be retained?
Follow CICC client file management requirements and your firm's retention policy — closed files are typically retained at least six years after closure. See Ontario RCIC client file retention guidance.
Where do submission records belong in the client file?
In the post-submission section alongside the exported document package and representative forms — not scattered in email.
Can co-agents upload submission confirmations?
