Bind checklist Google Sheets vs broker portal

Bind checklist Google Sheets vs broker portal

Every Ontario brokerage has a sacred Google Sheet: "BIND CHECKLIST v7 FINAL." It works until a producer marks "driver abstract ✅" with nothing attached.

Direct answer

Use Sheets for internal metrics if you want — use a document portal for client uploads, QC, and exportable packages. Bind completeness needs attachments, not checkbox faith.

Hidden cost of "free"

CSR time chasing "I thought I sent that" emails often costs more than intake software. Incomplete bind packages also make RIBO spot-check preparation harder — not because Sheets are banned, but because reviewers need retrievable documents and disclosure records, not green cells.

Reg. 991 electronic-record themes still expect records you can produce in an intelligible form. A shared Sheet with no attachments is a weak production story.

Privacy and hosting (honest)

Consumer Drive folders and personal Gmail threads mix poorly with brokerage retention and access control. A dedicated portal helps you separate client uploads from staff inboxes.

Canadian hosting can be a deliberate risk choice; it is not automatic PIPEDA compliance. Your principal broker and privacy counsel still own notices, processor agreements, and retention schedules.

Migration path

  1. Copy your Sheet rows into Hivi-X checklist templates (auto, home, life).
  2. Run one line of business for 30 days.
  3. Export PDF to Epic or your BMS — keep Sheet for bind counts only if needed.

Frequently asked questions

Are Google Sheets wrong for bind checklists?
Not wrong for internal tracking — weak for client-facing collection, attachment versioning, and per-item QC.
Can clients upload to Sheets?
Awkward at best — links break, permissions confuse, and there is no structured approve/reject per document line.
What do principals lose with Sheets only?
Cross-producer visibility of real attachments, version history, and one-click file packages for internal sampling.
Does Hivi-X replace Sheets entirely?
Many firms keep Sheets for KPIs but move document intake to Hivi-X.
Does Canadian hosting equal PIPEDA compliance?
No. PIPEDA focuses on accountability and comparable protection, not a blanket residency mandate. Hosting location is a procurement and risk choice; your brokerage still owns consent language, processor contracts, and retention.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
