Ontario RCIC files are often split by geography: the consultant in Mississauga, the police certificate in Punjabi, the spouse in Lagos. Account-creation portals die in that gap.

Direct answer

Share a secure guest link. The client verifies email with a one-time code and uploads onto checklist items from a phone. No my-id.ca account required. You approve or reject each item. This is shipped guest access (G1) — not automated reminders, not WhatsApp sync.

Guest OTP is built for the no-account job. Authenticated my-id.ca remains available for clients who want a reusable vault.

What the grant is (and is not)

Is: scoped document collection for that business + client; email OTP; time-limited session; checklist upload + completeness.

Is not: IRCC representative portal; GCKey; a way to skip IMM 5476; automated “your police cert is still missing” email drips (not shipped); unlimited anonymous internet upload.

Expiry is configurable in the product’s supported range (practices often use days-to-weeks, not forever). Rotate/resend using the product flow rather than forwarding an old SMS.

Time zones and QC

You will review morning Ontario time. The dashboard should already show rejected glare photos from overnight. Pair with IRCC upload specs and dependents.

Frequently asked questions

Do overseas clients need a my-id.ca account?
No. Share a secure guest link. They verify with an email one-time code and upload to the checklist. They can also register for my-id.ca if they want a longer-lived vault.
Is the guest link the same as an expired Drive link?
No. Guest access is OTP-gated and scoped to that business and client grant, with expiry you configure in the supported range. It is not an open folder URL.
What if the client's email OTP does not arrive in Nigeria or India?
Ask them to check spam and that you used the email they control. You can still upload files they send on WhatsApp onto the correct checklist lines the same day — the file of record stays in Hivi-X.
Can two family members use the same guest grant?
The grant is tied to the client record. For a spouse with a different email, follow your product's sharing rules — often a single client file with multiple items, or a coordinator uploading on their behalf. Do not share OTP codes in a family WhatsApp group as a workaround if that breaks your access model.
Does guest upload replace IMM 5476?
No. Representation forms are separate checklist lines. Guest upload is only how files arrive.
