CSR document collection workflow for insurance brokerages

CSR document collection workflow for insurance brokerages

CSRs are the engine of intake — if they have a system

In most Ontario brokerages, Customer Service Representatives handle the operational work producers cannot staff themselves:

  • Following up on missing driver's abstracts
  • Chasing dec pages before renewal
  • Renaming and forwarding attachments
  • Preparing submission packages for MGAs

Without a shared system, CSRs become human reminders — searching email, texting clients, and asking producers "did you already get this?"

The CSR pain points

  • No single status view — "I think the abstract came in Tuesday"
  • Producer-specific habits — every producer asks for documents differently
  • Duplicate client messages — CSR and producer both follow up
  • Last-minute binds — missing item found the morning of effective date
  • BMS upload gaps — intake in email, policy in Epic

A CSR workflow should answer one question instantly: what is still missing on this file?

Standard CSR workflow in Hivi-X

1. Producer opens the file

Producer creates the client record, attaches the brokerage auto (or renewal) checklist, and invites the CSR as co-agent.

2. CSR owns follow-up

CSR monitors checklist status daily:

  • Items still todo → contact client via your brokerage's approved channel
  • Items submitted → review and approve or reject
  • Items rejected → client resubmits through my-id.ca portal

3. CSR uploads offline documents

Documents that arrive by fax, walk-in, or phone photo can be uploaded by the CSR directly on the checklist item — not left in a personal downloads folder.

4. CSR flags the producer

When the checklist is complete (or blocked), the CSR notifies the producer. Producer reviews advice notes, confirms disclosure items, and quotes or binds.

5. Export for BMS

CSR or producer generates the PDF package and uploads to the BMS client folder.

What CSRs should not do in Hivi-X

Hivi-X does not give CSRs:

  • Rating or binding authority (that stays in your BMS and licensing model)
  • Access to unrelated producer clients (co-agent is per client record)
  • Automated reminder emails for overdue items (not shipped in v1 — follow up through your brokerage process)

CSRs work intake and document quality — producers retain placement accountability.

Metrics principals can watch

Even without a PB dashboard, standardized checklists improve:

  • Time from first contact to complete intake
  • Rejection rate (unreadable uploads caught early)
  • Bind delays caused by missing documents
  • Consistency of BMS client-folder uploads

Principal Brokers: publish one personal auto template and require co-agent handoff on every new-business file for 30 days. Measure whether bind morning surprises decrease.

Frequently asked questions

What does a CSR typically collect for personal auto?
ID, dec page, driver's abstract, vehicle registration, signed application, and supporting disclosure items. Exact lists follow your brokerage's auto intake template.
Can CSRs reject a bad client upload?
Yes. CSRs with co-agent access can approve or reject checklist submissions and request resubmission through the client portal.
Does the CSR need a separate Hivi-X account?
CSRs use their own login. Producers invite them as co-agent on specific client records — scoped access, not a shared password.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
