RCIC delegation supervision records matter when someone other than the principal collects or QC’s documents and the licensee must still produce a complete client file. “The co-agent handled it” is not a file — a dated trail of who did what is.

Co-agent (product) vs Agent (CICC)

Do not conflate these:

What a useful intake trail shows

Under Client File Management rules, a licensee generally maintains accurate client records and a file that includes, at minimum, retainers and related agreements, supporting documents for the application, correspondence, client property copies, billing documents, and related authorizations — confirm the current regulation text for your practice.

For delegated document collection, a practical trail often includes:

Every approve/reject action should carry the user’s identity and a timestamp — not an anonymous “file updated” entry. Licensees are generally responsible for acts and omissions of employees and Agents carried out in the course of their duties; an attributable trail supports that oversight story during a practice review.

Delegation workflow for Ontario RCIC firms

  1. Principal (or firm policy) defines who may collect vs who may approve.
  2. Team member attaches checklist and sends the client link.
  3. Team member or principal approves/rejects each upload with notes.
  4. Principal samples files on a cadence your firm sets (many sample weekly or monthly — your policy controls).
  5. Export a PDF package before portal submission when your process expects a frozen evidence set.

Closed client files are typically retained for a minimum of six years after closure under Client File Management rules — confirm current CICC guidance for your situation.

Why shared drives fail supervision reviews

Google Drive folders show files but not who approved them or why a police certificate was rejected twice. Email threads bury delegation context across personal inboxes. WhatsApp/WeChat photos that never land on the named file item leave gaps inspectors and successors cannot reconstruct.

A checklist with per-user approve/reject QC creates an organized supporting-document and correspondence trail — useful evidence, not a compliance certificate.
