Applied Epic uploads vs missing-document QC for brokers

Applied Epic uploads vs missing-document QC for brokers

CSR uploaded twelve files to Epic. Underwriter wanted one good abstract. Epic showed twelve attachments. Nobody knew which three were wrong until bind failed.

Direct answer

Epic is storage after QC, not QC itself. Hivi-X: named lines, approve/reject, resubmit, missing dashboard. Then export PDF to the Epic client folder. Does not replace Epic. Does replace "attachment roulette."

Ontario Reg. 991 allows electronic records when members can produce accurate, intelligible information within a reasonable time and guard against falsification. RIBO guidance also treats BMS notes and client communications as part of the inspectable client file. A complete Epic attachment list is not the same as a complete, QC'd evidence set.

Ontario ops blunt take

Personal-lines volume kills you on document quality, not policy-admin clicks. Fix the intake layer; Epic stays the policy / BMS system of record for many brokerages.

Not shipped: two-way Epic / Applied Systems sync, automated client reminders, underwriting decisions, or RIBO/FSRA certification.

Frequently asked questions

Can we skip Hivi-X and upload straight to Epic?
You can — you typically lose a structured reject/resubmit loop and missing-item visibility until underwriter decline or bind failure.
Does Epic show what's still missing?
Attachment count is not a named checklist. CSR workflow still needs an intake layer that tracks todo vs approved.
Who exports PDF to Epic?
CSR or producer when the checklist is complete — per brokerage habit. No two-way Epic sync is shipped.
Renewals too?
Same QC discipline on renewal templates when you collect abstracts, licences, or other supporting docs.
Does this replace RIBO record-keeping?
No. Reg. 991 and RIBO guidance still expect intelligible electronic records and client-file communications available for inspection. Export helps assemble evidence; it does not certify compliance.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
