OneDrive vs auto quote document collection for brokers

OneDrive vs auto quote document collection for brokers

A Scarborough brokerage shared a master OneDrive "Auto Quotes" folder. Forty subfolders, near-identical names, no status. When a principal asked for one quote file's dec page and disclosure confirmation, the producer spent most of an afternoon proving what had been collected.

When OneDrive is enough

Internal templates, training PDFs, carrier bulletins — fine. Client-specific quote and bind packages need tracked completeness before rating and binding.

Hivi-X complements shared storage: reusable Ontario auto intake checklists, guest upload, approve/reject, PDF export to your BMS (for example Epic or SIG). It does not sync folders, send automated reminders, or replace the BMS policy record.

What to change on the next file

The pattern is always the same: one concrete chase, one reusable checklist template, one missing-item dashboard the whole team reads. When a document arrives out of band — text, walk-in, phone photo — upload it to the matching checklist line the same day. Reject early with a short reason so the client fixes format before deadline pressure. Export a PDF package at the milestone your compliance policy expects (quote or bind).

Principal brokers and team leads should spot-check a sample of files after rollout — not because RIBO mandates a weekly quota, but to confirm everyone uses the same template and reject loop.

Hivi-X does not send automated client reminder emails, replace your BMS or CRM, sync OneDrive, or certify compliance. It makes each required item visible — todo, submitted, approved, rejected — on Canadian-hosted storage with AES-256-GCM encryption at rest.

Frequently asked questions

Is OneDrive wrong for brokers?
It is fine for internal drafts and training PDFs — weak as the system of record for client intake with approve/reject and completeness status.
What should quote files show for RIBO readiness?
RIBO expects brokerages to keep client records (notes, emails, BMS entries, recordings) that demonstrate mandatory disclosures and advice. Item-level intake status helps prove what was collected — it does not replace BMS notes or disclosure confirmations.
Can I keep OneDrive for templates only?
Yes. Many firms store internal templates in Drive and collect client uploads in checklist software.
Does Hivi-X integrate with OneDrive?
No sync. Export PDF packages for upload to your BMS or internal storage — not a OneDrive replacement.

Organize broker client files without the email chase

Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
