High-risk auto documentation checklist
High-risk auto documentation checklist
High-risk files need more discipline, not just more email
Ontario producers writing high-risk or non-standard personal auto know the pattern: more drivers with convictions, lapses in coverage, cancelled policies, or facility-market placements that need extra documentation.
The document list grows. The timeline shrinks. And email threads collapse under the weight of attachments, explanations, and follow-ups.
High-risk auto is where missing-item visibility matters most — because the MGA scrutiny and E&O exposure are both higher.
Core documents (same as standard auto, executed strictly)
- Government-issued photo ID — every listed driver
- Driver's abstract — every listed driver (current, readable)
- Prior policy declaration page or letter of experience
- Vehicle registration and garaging confirmation
- Signed CSIO auto application
- Payment authorization or payment arrangement documentation
High-risk-specific items
Requirements vary by MGA and market, but high-risk files often also need:
- Written explanation of convictions, lapses, or cancellations
- Prior insurer cancellation or non-renewal letters (if applicable)
- Proof of prior insurance or gap explanation
- Facility-market quote records and broker comments
- TAC quote log fields — premium, market, broker comments (RIBO Guidance 004)
- Mandatory disclosure records at or before quote (RIBO-002)
- CISRO Principles and RIBO Fact Sheet delivery evidence
- Voice or written advice notes documenting recommendations and client instructions
Why advice documentation matters here
RIBO's Code of Conduct expects client files to show needs analysis, products considered, and reason for recommendation. On high-risk placements, clients may later dispute what they were told about coverage, exclusions, or premium.
Voice notes with self-hosted AI summaries on the Hivi-X client file help producers capture call recaps against checklist lines — without sending client data to third-party AI providers.
This supports file discipline. It does not replace your professional judgment or E&O program.
Checklist-driven intake for high-risk auto
Build a high-risk auto template in Hivi-X with every item your MGA expects — including separate abstract lines per driver and a dedicated line for advice notes.
Track status per item. Reject unreadable uploads. Export a PDF package for your BMS when the file is complete.
Hivi-X does not access facility markets, rate high-risk auto, or replace your BMS. It organizes the documents and notes that belong in the client file you already must maintain under O. Reg. 991.

Frequently asked questions
- What extra documents do high-risk auto files need?
- Beyond standard ID, dec page, and application, high-risk files often need current abstracts for every driver, detailed loss or conviction explanations, payment authorization or agreement, and thorough advice notes. Exact requirements depend on your MGA and facility markets.
- Why is file documentation especially important for high-risk auto?
- E&O exposure rises when clients dispute advice or disclosure on non-standard placements. RIBO expects defensible client files with suitability evidence and quote records — including TAC quote log fields where applicable.
- Can Hivi-X rate high-risk auto?
- No. Hivi-X collects and organizes intake documents. Rating and binding stay in your BMS or carrier portals.
Organize broker client files without the email chase
Hivi-X helps Ontario insurance brokers collect application documents with reusable checklists, a Canadian-hosted client portal, self-hosted AI summaries, and exportable PDF packages for Applied, Epic, SIG, or your BMS. Hivi-X is document-collection software — it does not replace your BMS or guarantee RIBO compliance.
