Claims history letters are not "check your email for dec page"

Claims history letters are not "check your email for dec page"

Client switches carriers. CSR asks for a "claims letter." Client forwards a 2019 declaration page. The file looks complete until loss history and the application disagree at bind.

Direct answer

Collect prior insurer claims history letters (letters of experience) at quote on a named checklist line when your market needs them — QC for date range, named insured, and policy identity — and reject dec-page-only substitutes when a formal letter or industry loss-history report is required. See claims history disclosure QC, driver abstract collection, and auto new business checklist.

Dec page vs claims letter vs industry report

Ontario brokers commonly order AutoPlus (or similar) industry reports at quote. Letters of experience fill gaps when industry data is incomplete or a carrier explicitly wants insurer stationery. The driver's abstract is primarily licence and convictions — not a substitute for claims databases. Follow the MGA's required reports.

GTA brokers quoting Friday afternoon and binding Monday need the letter or loss-history line open at quote — not invented during Monday panic.

Practice tips

  1. Separate line from abstract — different sources, different QC.
  2. Separate line from dec page — a dec page may support the file but often does not replace a claims letter when one is required.
  3. Guest link early — client obtains the PDF from the prior insurer portal when available.
  4. Reject wrong insured — common on family policies with multiple drivers.
  5. Export to bind file — quote vs bind separation when a quote-only file is retained.
  6. Co-agent — CSR collects; broker reviews before the bind click.

Frequently asked questions

What is a claims history letter for auto insurance?
A document from a prior insurer showing policy periods and claims over the look-back carriers require — also called a letter of experience. Format varies by insurer. Not the same as a declaration page alone, and not the same as a driver's abstract.
When should brokers collect it?
At quote when prior insurer info is entered and your market needs a letter — for example incomplete AutoPlus/DASH history, out-of-province or foreign priors, or MGA checklist rules. Keep the line outstanding until approved.
Can clients upload from an insurer portal?
If the portal PDF meets carrier requirements — QC for date range, named insured, and policy identity. Reject partial exports.
What if the client has no prior Ontario insurance?
Note on file; collect out-of-province or prior-country history per carrier rules — often a separate newcomer checklist logic. See the no-Ontario-abstract newcomer guide.
Does Hivi-X request letters from insurers or pull AutoPlus?
No. Client or broker obtains the letter or industry report; Hivi-X tracks collection and QC.
