A procedural fairness letter is not the week to discover your client's “explanation” is a two-sentence WhatsApp voice memo transcribed badly.

Direct answer

Spin a PF-specific checklist the day the letter arrives: IRCC letter, client narrative, evidence per concern, drafts, final copy, submission proof. Diarise the deadline written in the letter (often a short calendar-day window in practice — do not invent a universal day count). QC each line before you submit. Ops discipline under a short window

  1. Read the letter twice — list every distinct concern; do not answer a different question than the one asked.
  2. One evidence line per concern — reject uploads that do not map to a listed issue.
  3. Channel matters — submit the way the letter instructs (online account, web form, or other). Keep proof.
  4. Extensions — if evidence cannot arrive in time, request more time in writing before the deadline expires; assume nothing until confirmed.
  5. Incomplete files — if officer reasoning is unclear, some practitioners also request GCMS notes via ATIP; that is a separate process and may not finish inside the PFL window.

One PF file a year? Word + email works if you are disciplined. Firm with multiple PF files concurrent — missing-item chaos costs more than software.
