Duplicate upload QC when clients send the same document three times

Duplicate upload QC when clients send the same document three times

Direct answer

When a client uploads the same bank statement three times, Ontario RCICs should rely on item-level approve/reject and one approved status per checklist line — not inbox count as proof of completeness.

Your file looks busy. Your missing-item view should still show whether the named line (for example, six months of statements) is approved.

QC rules that scale

  1. One named line per document type (e.g., "Bank statements — 6 months" or "Bank letter — Institution A")
  2. Reject with one specific reason
  3. Approve only the complete, readable version you will rely on
  4. Completeness counts the line approved once — extra copies do not fake readiness

Soft product mention

Hivi-X shows todo / submitted / approved / rejected per item. Clients resubmit to the same line after rejection. Co-agent access lets an admin flag a duplicate while the RCIC reviews employment letters.

Principals scan the missing-item dashboard for outstanding lines — not attachment volume. Export approved PDFs for CICC records when your practice is ready.

Hivi-X does not auto-dedupe uploads, auto-delete extras, or send automated chase emails.

Frequently asked questions

Why do clients upload the same document multiple times?
They did not see rejection feedback, they sent via chat and portal, or they think more copies mean faster processing.
Should RCICs keep every duplicate in the CICC file?
Keep a clear record of what you relied on. Many firms keep the approved version as authoritative and note that other copies were superseded — confirm retention practice with counsel. Status should show which copy is authoritative for QC.
How does reject/resubmit reduce duplicates?
A specific rejection reason (for example, 'need all pages, month 3 missing') targets one resubmit instead of three identical uploads.
Does Hivi-X auto-delete or merge duplicates?
No. Use approve/reject so only QC-approved submissions count toward completeness on the dashboard. Staff decide what to keep for the file.
Is this immigration advice?
No. Operational guidance only.
