Your client’s aunt forwarded a passport photo in the family group. Helpful — until nobody can find it when IRCC asks, or three versions conflict. WeChat solves speed. It does not solve file management.

Use WeChat as a communication channel. Use a checklist portal as the document layer. Log material chats for the client file; store supporting documents on named items. Hivi-X does not ingest WeChat automatically.

Under the CICC Client File Management Regulation, licensees maintain accurate client records for retained matters — including supporting documents and relevant correspondence — in a secure, accessible client file, retained for a minimum of six years after the file is closed (confirm current regulation text for your practice). A WeChat thread on someone's phone is not that file.

  4. Reject on the checklist — "Passport glare — please retake" beats a vague WeChat voice message.
  5. Confidentiality care — family groups expose third-party PII; minimize what you leave in chat.

Relationship and family evidence

Spousal and parent-grandparent files attract chat dumps. Principals cannot QC unstructured threads. Pull selected evidence into labelled items — chat excerpts, photos, transfer records — per common-law relationship evidence.

Many practices use WeChat for Mandarin-speaking clients. Using a channel does not replace Client File Management Regulation duties — supporting documents and key communications still need to live on the client file.
