Transaction software holds the deal — not the missing passport

You bought enterprise transaction software so nobody would chase PDFs in email. Rental season arrives and the coordinator still texts "send ID again."

Direct answer

Ontario brokerage stacks should pair transaction management software (examples many teams use: SkySlope, DealRoom, or a brokerage TMS) with a document intake checklist layer for client uploads, missing-item QC, and guest portal access. TMS owns the deal timeline; Hivi-X owns what the client still has not sent — rental ID, income proof, FINTRAC supporting copies when your process requires them — with export back into the deal file.

Brokerages also retain required trade records for multi-year periods under Ontario real estate regulations (commonly at least six years unless the registrar specifies otherwise). Intake exports should land in the same retention-aware brokerage file — Hivi-X is not the brokerage record system of record.

  1. Deal opens in TMS — agent, property, conditions.
  2. Parallel checklist opens — buyer onboarding or rental application template.
  3. Guest link to client — email OTP; no account for busy GTA tenants.
  4. QC on checklist — reject void cheque without ID, wrong file type, stale income letter.
  5. Export PDF package — attach to TMS deal or landlord delivery folder.
  6. Co-agent — coordinator QC's while agent shows properties.

Optional voice notes on checklist items can capture internal handoff context; they are not a substitute for prescribed identity or trade records your brokerage must keep.

Myth: one vendor solves intake

Does Hivi-X replace SkySlope or DealRoom?
No. Transaction software manages deal workflow and brokerage compliance checkpoints. Hivi-X handles structured client document collection, approve/reject QC, and export.
Where does rental application intake fit?
Before or beside listing — tenant ID, income proof, credit consent on checklist lines with guest portal. Export complete package for landlord client or deal room.
Can exports upload to transaction software?
Exportable PDF packages attach to deal files in your TMS or brokerage drive — typically manual upload, same as today but from a complete checklist. Hivi-X does not auto-sync into third-party TMS products.
What about DocuSign?
E-signature tools sign agreements. Checklists collect supporting documents — void cheque, pay stubs, government ID — with QC before screening.
Is one stack enough for GTA rental season?
TMS for deals + checklist for tenant/buyer intake prevents parallel email workflows that TMS alone rarely eliminates.
