Async overseas client upload QC without calls

Async overseas client upload QC without calls

It was 11:47 p.m. in Mississauga. Priya, an RCIC at a Brampton storefront firm, was on a video call with a client in Hyderabad who was holding a passport three inches from the camera. The scan would never pass IRCC specs. Priya had three more families in IST and WAT time zones that week. She closed the laptop and asked: why does QC require her to be awake when they are?

The next file used a different pattern — one checklist, one guest link, one morning review.

What went wrong on the old chase

The Hyderabad file lived in WhatsApp photos, a Gmail thread labelled "Urgent," and a junior's sticky note: "call re: passport." Nobody could answer whether the biometrics letter had arrived. Priya's midnight call fixed one glare problem but burned an hour and trained the client to wait for live help.

One failed chase → one checklist

Priya rebuilt the intake as named checklist lines: passport (all pages), biometrics instruction letter, police certificate, employment reference. She shared a guest link — email OTP, no account — and sent one written guide on mobile scans.

Overnight, three items moved to submitted. At 8:12 a.m. she rejected the passport (crop cut off the MRZ), approved the employment PDF, and left the police cert as todo. The client in Hyderabad resubmitted before Priya's first coffee. No call required.

How Hivi-X fits the async model

Hivi-X gives Ontario RCICs a missing-item dashboard on each client record. Overseas clients upload via guest link or my-id.ca portal. You approve, reject, or request resubmission per line. Voice notes capture consultation context; export a PDF package for your CICC file. This complements Docketwise and similar CRM tools — it does not replace IRCC portals or case strategy.

Frequently asked questions

Do I need to be online when overseas clients upload?
No. Checklist status shows submitted items when you start your Ontario day. Reject unreadable scans in-app so clients resubmit on their schedule.
What if the client only uses WhatsApp?
Upload their photo to the matching checklist line the same day. The file of record stays on the client record — not in a chat thread.
Does async QC replace representation forms?
No. IMM 5476 and program-specific forms remain separate checklist items. Async upload is how documents arrive and get QC'd.
Can a co-agent cover morning QC while I am in court?
Yes. Co-agent access on the client record lets a colleague approve or reject items against the same checklist.
