New construction buyers need intake before firm closing — not at key handoff

New construction buyers need intake before firm closing — not at key handoff

Buyer signed APS in 2023. Closing 2026. Agent asks for ID month before occupancy — email bounces, deposit receipts in someone's Sent folder from 2024.

Direct answer

Start new construction buyer intake at APS — ID, deposits, amendments, FINTRAC docs, and Tarion-related APS attachments where applicable on checklist lines through the build. Do not defer to occupancy month. See receipt of funds records, buyer onboarding.

GTA pre-con corridors — Vaughan, Milton, downtown towers — lose files when the original agent leaves the brokerage.

Tarion / freehold registration (operational note)

For many Ontario new homes, purchase agreements include a Tarion Addendum and Warranty Information Sheet. Treat signed copies as checklist items, not “someone else’s problem.”

As of April 1, 2026, Tarion expects freehold purchasers to register the purchase (typically within 45 days of signing) so warranty and legality checks can start early. Lawyers, agents, or other representatives may assist. Condominium and contract-home rules differ — confirm scope with counsel. Add a checklist line for the registration confirmation; Hivi-X does not submit to Tarion.

Workflow

  1. Pre-con template — deposit lines numbered per APS; APS + addendum/warranty sheet lines where applicable.
  2. Guest link after each deposit — client uploads receipt same week.
  3. Amendment line per builder change — reject "verbal OK."
  4. Co-agent — transaction coordinator owns the multi-year checklist; agent sells phase releases.
  5. Export before lawyer final — complete milestone history.

Frequently asked questions

What documents do new construction buyers need before firm closing?
Commonly purchaser ID, APS and amendments, Tarion addendum and Warranty Information Sheet where the build is covered, deposit receipts, incentive acknowledgements, lawyer docs, and FINTRAC-related records per brokerage policy — verify per deal and current Tarion/HCRA rules.
Why start intake early?
Multi-year builds lose deposit confirmations and buyer contact changes — checklist preserves milestones.
Do assignments need separate checklists?
Yes — assignment typically adds party ID and consent docs beyond a standard buyer template. Confirm with counsel and brokerage policy.
Should pre-con differ from resale buyer checklist?
Extend the resale template with amendment, deposit schedule, occupancy, and (where applicable) Tarion registration confirmation lines.
Does Hivi-X track construction timelines or register with Tarion?
No. Checklist tracks documents; dates and Tarion/HCRA filings are your deal-management and advisor layer.
