RCIC and realtor newcomer landing document handoff process

Client: "Just CC my agent — she needs everything." Everything includes medicals, police certs, and ex-spouse docs the realtor does not need.

Consent-first handoff

  1. Written client authorization — scope: housing search / rental or purchase only; name the realtor or brokerage type
  2. List what the realtor receives — landing proof, ID copy, optional employment letter the client approves
  3. Separate checklist on the realtor side — newcomer rental template
  4. Export purpose-limited PDF — not full immigration export
  5. Log handoff in the RCIC communication record (what left, when, to whom, under which consent)

CICC’s Code of Professional Conduct confidentiality rules generally require client authorization before disclosing confidential client information, and require licensees not to disclose more than necessary for the specific basis of disclosure. PIPEDA themes likewise expect meaningful consent for third-party disclosure and limiting collection/use/disclosure to purposes that are appropriate — especially for sensitive immigration records. RCIC file keeps

  • Full immigration history
  • Police certificates, medicals, relationship evidence
  • Billing records (invoice placement)

Realtor file receives

DocIf client consents
COPR / landing proofOften useful for landlord applications
Passport copyRental ID line
Job offer / employmentRental income support
POF letterSometimes — client choice

Realtor does not need IRCC submission PDFs, medicals, or police certificates by default.

Post-landing timing

February landing follow-ups — winter landing pack — often trigger handoff when the client starts a lease search. Timing is a practice pattern; consent still comes first.

Privacy note

Cross-professional sharing requires appropriate consent and minimization. See PIPEDA collection for RCICs. Do not treat “CC my realtor” in a group chat as a blank cheque for the whole file.

Frequently asked questions

Can RCICs share client docs with realtors?
Only with client authorization (and typically meaningful consent under privacy law), purpose-limited to what the realtor needs — not the entire immigration history. Confirm with counsel for your firm’s policy.
What might realtors need?
Often landing confirmation, ID for rental applications, proof of funds or employment letters if the client chooses — realtor and landlord templates differ.
Should files merge in one system?
Best practice: separate checklists — immigration file vs rental/buyer file — linked by a client consent note and handoff log.
Does Hivi-X connect RCIC and realtor accounts?
No automatic cross-tenant merge. Export PDF or coordinate separate checklist invites per firm policy.
Is this immigration or privacy advice?
No. Operational framing only — consult counsel on PIPEDA, provincial privacy rules, and CICC confidentiality duties.
