Language test, medical, and police certificate expiry tracking for RCICs

Language test, medical, and police certificate expiry tracking for RCICs

Expiry is why a pre-ITA ready file becomes an ITA panic. The documents are still in the folder; they are no longer usable.

Direct answer

Store language tests, medical evidence, and police certificates on Hivi-X. Calendar validity in your immigration CRM. Hivi-X does not send expiry alerts or missing-item reminder emails in v1 (reminders are a known gap / coming soon). Confirm every window on canada.ca.

Language tests also appear on OINP lists (e.g. tests within two years of OINP submit — confirm the current stream checklist on ontario.ca).

Why not overwrite

CICC files should show what you relied on. If IRCC later asks why a test date does not match the portal, you want both PDFs. New checklist line > silent replace.

Frequently asked questions

Does Hivi-X alert me when a language test is about to expire?
No automated expiry or reminder emails in v1. Put dates in your CRM or calendar. Hivi-X shows whether a current upload exists and is approved.
How long are IRCC language tests valid?
Many Express Entry and OINP instructions use a two-year window from the test date — confirm the live program page. Do not assume citizenship language proof uses the same rule.
How fresh must a police certificate be?
IRCC's Express Entry page has required the certificate for the country where you currently live to be issued no more than six months before you submit, with different rules for past countries. Confirm canada.ca.
Should I overwrite an expired test on the same checklist item?
Prefer a new line (IELTS 2026) so the file shows the old and new reports. Overwriting hides what you filed historically.
Are medicals valid for 12 months?
Practitioners often treat immigration medicals as valid for a limited period commonly discussed as about 12 months. Verify current IRCC medical instructions; do not rely on this article as the rule.
