Citizenship work is still a document file. Ontario RCICs who treat it as “the client will upload in the IRCC account” inherit the same email chaos as Express Entry — plus a presence calculation that is easy to under-document.

Reusing an Express Entry template hides the documents that actually delay citizenship files.
Operational document groups

Identity and status
- Valid passport or travel document (bio page and pages with stamps)
- Permanent resident card (both sides) or other acceptable PR proof IRCC lists
- Name-change, marriage, or divorce documents if names do not match across IDs
Physical presence
IRCC decides citizenship partly on days physically in Canada. Your file should hold the evidence the calculation rests on — passport stamps, entry/exit records the client can obtain, and a dated travel history the RCIC reviews. Hivi-X tracks whether those uploads exist; you remain responsible for the calculation.
Language (when required)
Applicants in the age band IRCC currently sets must usually prove English or French. Treat test reports as expiry-sensitive (see language test documentation and expiry tracking). Reject cropped score pages.
Photos and file specs
Citizenship photo and upload rules are easy to fail. QC dimensions, background, and file size on the checklist before anyone hits submit — IRCC upload specs.
Representative paperwork
If you represent the client, collect IMM 5476 (or the current use-of-representative form) as its own line, signed by the right people.
