Canadian citizenship document checklist for Ontario RCICs

Canadian citizenship document checklist for Ontario RCICs

Citizenship work is still a document file. Ontario RCICs who treat it as “the client will upload in the IRCC account” inherit the same email chaos as Express Entry — plus a presence calculation that is easy to under-document.

Direct answer

Collect supporting documents on a citizenship-specific Hivi-X checklist at retainer: proof of PR status, identity and travel documents, physical-presence evidence, language proof when IRCC requires it for that applicant, and photos that meet current IRCC specifications. Cross-check every line against the personalized checklist in the IRCC citizenship application. Hivi-X does not submit the application.

Why citizenship intake is a different checklist

PR / Express Entry fileCitizenship file
ECA, NOC letters, proof of fundsPhysical presence / travel history
Police certificates, medicalsLanguage proof in IRCC's citizenship age band
ITA 60-day clockProhibitions and PR status still in effect
IMM 0008 family of formsCitizenship application package (current IRCC channel)

Reusing an Express Entry template hides the documents that actually delay citizenship files.

Operational document groups

Verify each group against IRCC citizenship guidance on canada.ca and the client's live checklist.

Identity and status

  • Valid passport or travel document (bio page and pages with stamps)
  • Permanent resident card (both sides) or other acceptable PR proof IRCC lists
  • Name-change, marriage, or divorce documents if names do not match across IDs

Physical presence

IRCC decides citizenship partly on days physically in Canada. Your file should hold the evidence the calculation rests on — passport stamps, entry/exit records the client can obtain, and a dated travel history the RCIC reviews. Hivi-X tracks whether those uploads exist; you remain responsible for the calculation.

Language (when required)

Applicants in the age band IRCC currently sets must usually prove English or French. Treat test reports as expiry-sensitive (see language test documentation and expiry tracking). Reject cropped score pages.

Photos and file specs

Citizenship photo and upload rules are easy to fail. QC dimensions, background, and file size on the checklist before anyone hits submit — IRCC upload specs.

Representative paperwork

If you represent the client, collect IMM 5476 (or the current use-of-representative form) as its own line, signed by the right people.

How Hivi-X helps

  • Reusable citizenship template (user-built; prebuilt RCIC templates — coming soon)
  • Guest link for family members who hold passports abroad
  • Item-level reject for illegible PR-card backs and non-compliant photos
  • Voice note + self-hosted AI summary of the eligibility consultation, stored on the checklist
  • PDF export for the six-year CICC retention file

It does not compute physical presence, book a citizenship test, or talk to IRCC.

Frequently asked questions

What documents do RCICs typically collect for a Canadian citizenship application?
Proof of permanent resident status, identity and travel documents, physical-presence / travel-history evidence, language proof when the applicant is in the age band IRCC currently requires, IRCC-spec photos, and any representative form. Always use the personalized checklist in the client's IRCC citizenship application.
Does Hivi-X file citizenship applications to IRCC?
No. Hivi-X collects and QC's supporting documents. Filing stays in the IRCC citizenship application channel your practice already uses.
Can the same Express Entry checklist be reused for citizenship?
No. Citizenship evidence (physical presence, language for citizenship, PR card) is a different set. Build a separate user-defined template.
How do overseas family members upload?
Share a secure guest link with email OTP — no my-id.ca account required — or the authenticated portal. Approve or reject each item.
Is this citizenship legal advice?
No. General operational information only. Verify presence calculations, language rules, and prohibitions against current canada.ca guidance.
