February newcomer winter landing follow-up document pack for RCICs

February newcomer winter landing follow-up document pack for RCICs

They landed in Toronto during a storm. COPR is stamped. The SIN line on your checklist is still red.

Post-landing checklist lines (retainer-defined)

Separate template from the pre-landing file. Exact lines depend on what you agreed to collect — not every RCIC keeps a full settlement pack.

LinePurpose (typical ops)
Stamped COPR / landing record copyFile copy the client provides
Canadian mailing address + photo statusOften needed so IRCC can mail the first PR card (commonly within a stated window after becoming PR — confirm live IRCC instructions)
Initial Ontario address proofLease, hotel, host letter — also relevant if client pursues OHIP
SIN confirmation / letterWhen issued (Service Canada process is client-side)
OHIP / provincial health registration copyIf advising on document prep only — not medical advice
Bank account opening proofOnly if client shares for your file
Updated photosFuture renewals / cards if in scope
Travel history updateIf client departed again and you track it

Winter logistics — school closures, Service Canada queues — belong in the communication log, not as excuses for empty checklist lines you promised to collect.

Notes from public guidance (confirm live; not advice)

  • PR card: IRCC guidance commonly states new permanent residents provide a Canadian mailing address (and photo where required) so the first card can be mailed — often within 180 days of becoming a PR; missing that window can mean applying for a card later. Verify current IRCC pages for the client's situation.
  • SIN: Service Canada typically accepts a Confirmation of Permanent Residence (COPR) as a primary document for new PRs within a limited period (often described as within one year of becoming a PR), usually with a secondary identity document such as a passport. After that window, a PR card is typically required. Confirm current Service Canada document lists.
  • OHIP: Ontario typically requires an in-person ServiceOntario application with three separate originals: status/immigration eligibility, Ontario residency, and identity. COPR / PR card themes appear on provincial document lists — confirm ontario.ca lists before coaching clients.

QC on landing docs

  • Blurry COPR stamp — reject and request a clearer scan
  • Address mismatch across forms — flag before any IRCC address update the client requests
  • Wrong family member upload — per-person lines

Optional scope clarity

Post-landing packs are retainer-defined — document what you agreed to collect vs refer out (tax, real estate, provincial programs). Not every RCIC keeps post-landing docs; if you do, organize them.

Voice notes can capture landing-day advice for the file. Hivi-X does not auto-remind clients about Service Canada or ServiceOntario appointments, and does not submit government applications.

Frequently asked questions

What is a post-landing follow-up pack?
Documents collected after PR landing for client-file completeness, provincial registrations the client pursues, and optional handoffs to realtors or employers — scope varies by retainer.
Does IRCC require post-landing docs from the RCIC?
Landing and settlement steps are primarily client-side. Your file should document advice given and copies the client shares if retained under your agreement. Confirm current IRCC guidance for each file.
When open a post-landing checklist?
Often at landing or within the first week — winter weather delays should not delay checklist creation if you agreed to collect these items.
Can realtors receive documents?
Only with client consent and purpose-limited sharing — see the RCIC–realtor handoff guide.
Does Hivi-X submit SIN or OHIP applications?
No. It tracks checklist uploads and QC. Clients apply through Service Canada / ServiceOntario (or other channels) themselves.
Is this immigration advice?
No. Operational organization only.
