Complaints feel like judgment day. They are really a production request — can you show what happened? Ontario brokers who maintain organized files respond faster and with less panic.

For each RIBO complaint, assemble an indexed package: client file core, disclosures at quote, auto quote logs if relevant, communications chronology, and payment records. Missing indexes waste principal time and miss deadlines.

How the process typically runs

RIBO materials describe a familiar path: when a formal inquiry is needed, a copy or summary of the complaint is sent to the broker with a request for a written response and the name of the assigned investigator. Investigators may request documents from both sides. Matters can be clarified and closed, resolved on consent, handled with remedial action, or referred onward to a Complaints Committee and, if warranted, a Discipline Committee. Confirm the current process for your matter in the notice you receive.

Two operational takeaways:

  1. Respond within the timeframe stated in each RIBO request. Code of Conduct expectations include cooperating in investigations — timely, complete replies; providing documents; and making yourself available. Failing to respond can itself become a conduct issue.
  2. Principal Brokers are accountable for ensuring complaint queries are answered within a reasonable time and for following up with the individual broker.

Involve counsel and your E&O carrier early when the allegations are serious.
