Secure client portal for mortgage documents

Secure client portal for mortgage documents

The 40-email problem

Borrower-facing document collection fails when clients get dozens of emails with conflicting instructions. "What document do I send?" threads stretch for weeks.

A portal gives borrowers one place to see what is required and upload per item.

Secure guest link or portal

Hivi-X borrowers upload via a secure guest link (no account needed) or the my-id.ca portal:

  1. Agent builds checklist and attaches to borrower record
  2. Agent shares checklist — default message: "Client can use a secure link — no account needed"
  3. Borrower verifies email with OTP (guest link) or logs into my-id.ca
  4. Borrower uploads per checklist item
  5. Agent approves or rejects submissions

Agents can also add files manually as they arrive from email.

When your brokerage already has a portal

If Finmo or BOSS is mandated for every standard file, the in-platform borrower portal may be sufficient for A-lender deals.

Hivi-X fits when:

  • Your brokerage does not provide a borrower portal
  • You need a secondary channel for renewals, private, or alternative deals
  • You want agent-owned templates with item-level approve/reject

Secure guest link (no account needed)

When you share a checklist, the default is: "Client can use a secure link — no account needed." Borrowers verify email with a one-time OTP, then upload per checklist item. They can also create a free my-id.ca account and use the full portal.

Security

Portal uploads go to Canadian-hosted storage with encryption at rest and TLS in transit. Borrower PII is not sent to third-party AI providers.

Frequently asked questions

Do borrowers need a my-id.ca account to upload?
Borrowers can use a secure guest link (no account needed; email OTP verification) or log into my-id.ca to upload checklist items.
How do borrowers get access?
Agents share the checklist with the client — an optional email notifies the borrower with a portal link. The borrower logs in and sees shared checklist items.
When should I use Hivi-X vs my brokerage LOS portal?
If Finmo or BOSS is mandated for every A-lender file, you may not need Hivi-X for standard pipeline deals. Hivi-X fits agents without a provided portal or for renewals and private deals outside the main pipeline.

Build complete borrower files without the email chase

Hivi-X helps Ontario mortgage agents collect ID, income proof, down-payment evidence, and lender conditions with reusable checklists, a secure guest link (no account needed) or my-id.ca portal, self-hosted AI summaries, and exportable PDF packages for Finmo, BOSS, or Filogix.
