Why a CRM alone does not fix the document chase
Why a CRM alone does not fix the document chase
CRMs serve a different purpose
Many Ontario boutiques run Wealthbox, Redtail, or Salesforce for relationship management, tasks, and calendar workflows. Those platforms are important for day-to-day practice operations.
But they may not solve the client-facing collection step before planning or custodian onboarding.
The gap before the CRM upload
Before the file reaches your CRM household folder, the advisor may still need:
- Government photo ID and address verification
- Tax returns and Notices of Assessment
- Insurance policies and pension statements
- Risk tolerance and capacity questionnaires
- Source-of-funds evidence for non-standard deposits
- Voice or written notes from discovery calls
That work often happens through email — outside the CRM.
What Hivi-X adds
Hivi-X structures pre-planning intake with reusable checklists, missing-item dashboards, item-level approve/reject, voice summaries with self-hosted AI, and exportable PDF packages designed for CRM upload.
The CRM remains your system of record for relationships. Hivi-X is the intake layer for what the client still owes before you plan.
Answers are general operational information only — not legal, tax, regulatory, clinical, privacy, immigration, or professional advice. Requirements vary by matter, client, and regulator.
Frequently asked questions
- Does Hivi-X replace Wealthbox or Redtail?
- No. Hivi-X is a document-collection layer. It complements your CRM — you export organized intake packages into the system you already use.
- Why not just use the CRM document folder?
- You can upload files there — but ad-hoc uploads do not give missing-item tracking, approve/reject per line, or a checklist view of what the household file needs before planning.
- Does Hivi-X sync bi-directionally with my CRM?
- No API sync in v1. Export a PDF package from Hivi-X and upload to your CRM client folder.
Organize KYC intake documents without the email chase
Hivi-X helps Ontario financial planners and portfolio managers collect KYC documents with reusable checklists, a secure guest link (no account needed) or my-id.ca portal, self-hosted AI summaries, and exportable PDF packages for Wealthbox, Redtail, or your client file.
