PR card renewal document checklist for Ontario RCICs

PR card renewal document checklist for Ontario RCICs

Permanent resident card work looks administrative until a photo fails IRCC's validator or travel history is missing.

Direct answer

Collect PR card supporting documents on a dedicated Hivi-X template: identity, current card images, IRCC-spec photo, and presence/travel evidence when required. File in IRCC's PR card channel. Hivi-X does not submit IMM 5444.

Photo QC is the high-frequency fail

Use the same operational rules as IRCC upload specs and the official PR photo page:

  • Pixel range and file size as published
  • Professional digital photo or scanned professional print
  • Not a phone picture of a paper photo
  • Neutral expression, white background, recent likeness (IRCC has used a 12-month window — confirm live)

Reject in Hivi-X before the client spends an evening fighting the photo editor in the portal.

Travel risk

A PR card is what commercial carriers expect for a PR boarding a flight to Canada. Processing times are IRCC's. Your consultation notes should record that you discussed travel; Hivi-X will not calendar IRCC processing.

Frequently asked questions

What documents do RCICs collect for PR card renewal?
Typically the completed IMM 5444 process in the current IRCC channel, identity documents, a digital photo that meets IRCC PR photo specs, copy of the existing card, and travel/presence records when IRCC asks. Use the live checklist in the client's account.
Are PR card photos the same as passport photos?
Not necessarily. IRCC publishes dedicated PR photo specifications (pixel range, file size, professional scan rules). QC against that page, not a generic studio 'passport' product.
Does Hivi-X apply for the PR card?
No. Filing stays with IRCC. Hivi-X collects and QC's supporting documents for your CICC file.
What if the client needs to travel before the new card arrives?
That is travel-document advice (often a PRTD from a visa office abroad). Do not treat Hivi-X as a travel-authority tool. Warn clients not to book non-refundable travel around processing times you do not control.
Is a lost card the same template as a renewal?
Replacement and renewal share photo and identity lines but differ on supporting explanations and police reports. Keep separate checklist variants or optional lines.
