Capture a client from another website

You often type a client's details into forms on other websites — CRMs, government portals, partner systems, intake forms. Client capture lets the hivi extension watch one of those forms while you fill it, collect the field names and values, and send them to hivi-x. hivi's AI maps them onto a client, which then waits privately for you to review inside the app.

The idea: turn "I'm typing my client's details into someone else's form" into "those details are now in hivi-x too, with one review step."

Client capture is for business accounts. The controls and the review popup never appear for other users, and everything you capture is private to you — only you ever see or act on the clients you recorded.

1. Start recording

A recording session always captures one client. To capture a second client, stop and start a new session.

You can start recording from either of these places — they all control the same session, so you can start in one and stop in another:

  • Extension popup — click the hivi extension icon, then Start record new client.
  • AI chat (side panel) — type something like "grab data about my client" or "record a new client". hivi recognizes the intent and starts recording.

While recording is live, a small player-style indicator appears on the page with a record dot and a Stop button, so you always know capture is on. You can drag it out of the way.

2. Fill the form

  • The moment you start, hivi grabs every field that already has a value on the page.
  • After that, each field is captured as you move off it (when you click or tab away) — its label/name and the value you entered.
  • In the AI chat, the field names and values appear live as they're collected, so you can see exactly what's being recorded.

What gets captured: while recording, every field you fill is captured — there are no exclusions. That can include sensitive values (for example a password, payment field, or one-time code) if you happen to fill them during a session. Because you control when recording is on, you decide what's recorded — so stop recording before filling anything you don't want captured.

3. Stop recording

Stop from any of:

  • the Stop button on the on-page indicator,
  • the popup (the button becomes "Stop & map to client" while recording),
  • the AI chat — press the Stop control on the live card, or type "stop".

When you stop, hivi's AI maps everything you captured onto the hivi client structure as a single step (for example, recognizing that "Mobile" is a phone number and "DOB" is a date of birth). The result is saved as a captured client in your private holding area. If a field couldn't be confidently matched, it's kept and flagged rather than dropped.

If you stop without capturing anything, no captured client is created — there's nothing to review.

4. Review in hivi-x

Next time you sign in to hivi-x, if you have captured clients waiting, a review popup opens listing them. (A side rail lets you reopen it if you close it before finishing.) For each captured client, choose one of:

  • Confirm as new client — creates a brand-new client from the captured data.
  • Merge into an existing client — hivi suggests likely matches (by name, email, or phone); if none fit, search your client list manually. Then reconcile field by field: for each field that differs or is new, keep the existing value or accept the captured one. Only the fields you accept are applied.
  • Discard — remove the captured client without changing anything.

Each captured client is handled on its own, and a capture leaves your holding area only after you act on it. Captured clients stay until you do — there's no automatic expiry.
