Secure tenant portal for document uploads

Secure tenant portal for document uploads

Email attachments are a weak link

Ontario PM firms ask tenants for sensitive documents: government ID, pay stubs, employment letters, and signed consent forms.

Email is convenient — and risky:

  • Attachments travel without end-to-end encryption in most workflows
  • Threads forward to wrong recipients
  • Files download to personal phones uncontrolled
  • Nobody tracks whether the right document arrived in readable form

PIPEDA expects appropriate safeguards for personal information.

What the Hivi-X tenant portal provides

  1. PM creates a tenant record and attaches a screening checklist
  2. Tenant receives access to their checklist items
  3. Tenant uploads via secure guest link (email OTP) or logs in to my-id.ca per item
  4. PM team sees submission status — todo, submitted, approved, rejected
  5. Tenant can resubmit after rejection

Documents stay on the PM-controlled tenant record — scoped to that applicant.

Secure guest link or portal

When you share a checklist, the default is: "Client can use a secure link — no account needed." Tenants verify email with a one-time OTP, then upload per checklist item. They can also log in to my-id.ca — login confirms identity and keeps uploads on the correct file.

Approve, reject, and request corrections

The portal is not a blind drop box. Your team approves acceptable uploads and rejects unreadable photos or wrong files — with documented feedback the tenant sees in the portal.

Frequently asked questions

Do tenants need an account to upload documents?
Tenants can use a secure guest link (no account needed; email OTP verification) or upload through my-id.ca.
Is the tenant portal encrypted?
Yes. Traffic uses TLS. Sensitive fields use AES-256-GCM at rest on Canadian servers.
Can tenants see other applicants' files?
No. Tenants see only the checklist items your PM firm shared with them on their record.

Organize tenant screening documents without the email chase
