Weekend FNOL photos by text — not the portal

Weekend FNOL photos by text — not the portal

Weekend FNOL is a channel problem

First notice of loss (FNOL) on a Saturday night means photos of bumper damage, water in the basement, or a stolen bike arrive on the producer's text thread — not through a portal the client has never used.

Ontario personal-lines brokers across the GTA know the pattern: empathize now, organize Monday. The failure mode is leaving evidence on a personal phone for four days.

What clients send on weekends

Typical weekend FNOL intake:

  • Accident scene photos (often blurry, wrong angle)
  • Police report number in a follow-up text
  • "Is this covered?" voice memo
  • Screenshots of the other driver's insurance card

None of this is wrong. Unstructured storage is wrong.

Why "text me photos" is defensible only with Monday discipline

Text is fast for the client. For the brokerage, text is risky when:

  • The on-call producer is not the file owner
  • Photos never attach to the FNOL checklist
  • CSRs duplicate asks because they cannot see weekend uploads
  • RIBO or insurer file review cannot find the initial loss documentation

Defensible weekend handling:

  1. Acknowledge — confirm receipt, advise safety and police report if needed (not coverage advice by text)
  2. Do not adjudicate coverage by SMS — document that limitation
  3. Monday transfer — attach each photo to labelled checklist items on the policyholder record
  4. Reject and resubmit — blurry damage shots get a reason, not silent acceptance
  5. Voice note the initial call — self-hosted AI summary on the file for CSR handoff

Portal path for clients who will use it

Send one secure link Monday:

Here is where your claim photos live on your file — upload any additional angles we still need.

Guest link with email OTP works for clients who refuse account creation — same weekend photos, better file hygiene.

Co-agent visibility matters

When the primary producer is off, secondary staff need the same missing-item view. Weekend text without Monday checklist transfer creates CSR intake queue chaos when three people think someone else saved the photos.

Frequently asked questions

Should brokers accept FNOL photos by text on weekends?
Clients will send them anyway. The risk is not receipt — it is failing to transfer them onto the official client file with checklist context.
What is wrong with leaving photos in iMessage?
No audit trail on the brokerage file, no link to checklist items, personal device loss, and weak handoff when the producer is unavailable.
Can clients upload to a portal instead?
Yes when they will use it. Many stressed policyholders default to text. Plan for both paths.
Does hivi-x adjust claims?
No. hivi-x organizes FNOL document intake on the client record. Claims handling stays in your BMS and carrier systems.
